Introduction

The City of Tucson Business Services Department is seeking to fill a position for pCard Coordinator. The pCard Coordinator is the primary point of contact for user departments and the bank. This position will provide support in continued efforts of expanding the program while enhancing organization-wide efficiencies and emphasizing compliance.

To remain eligible, you must maintain your permanent or probationary Civil Service employment status through the actual date of transfer. If you are not a current permanent or probationary Civil Service employee at the date of transfer, you will not be eligible for this position. Non-permanent or appointed employees are not eligible.

The Eligibility List may be used by any City department with an approved vacancy to fill in the next 6 months. Selection will be made in accordance with CSR III, Section 2. The list of employees eligible for consideration will remain in effect for 6 months after their names are provided to the hiring authorities. Examination results and current status will be communicated by email.

General Description

The pCard Coordinator will work closely with the second pCard Coordinator and reports to the Procurement  Administrator in the Procurement Operations division.  The pCard Coordinator is the primary point of contact for user departments and the bank. 

This position will provide support in continued efforts of expanding the City of Tucson pCard Program while enhancing organization-wide efficiencies and emphasizing compliance.  This position is responsible for reviewing pCard program activities for efficiencies, making recommendations for improvement and working with pCard program staff and management in implementing efficiencies.

Essential Functions

Provide customer support to existing and potential pCard users by addressing policy interpretations, how to complete applications/agreement forms, general and technical inquiries, corresponding with bank representatives and assist in the resolution of problems.

Assist with processing requests for pCards, reporting lost/stolen cards and closing accounts, as needed.

Assist with maintaining pCard documentation to ensure appropriate agreement forms, applications and change requests are on file.

Coordinate pCard training sessions, meeting rooms and equipment.

Maintain pCard training log.

Prepare reports for management on pCard statistics: monthly, quarterly & annually.

Prepare reports for pCard administrator to monitor compliance and proper card usage to ensure continued success of the pCard Program.

Assist in special projects as needed, including but not limited to, system enhancements, program expansion and upgrades.

Serve as liaison between Cardholders.

Assist in ensuring pCard spend is archived.

Special projects will be assigned, as needed, in support of program expansion.

Minimum Qualifications

Minimum Education Level & Type: 6 months post High School

Minimum Experience Qualifications: At least 2 years administrative support, including research and analysis, computer record keeping and composition

Preferred Qualifications

Experience with current pCard Program (reconciler, approver, or liaison)

Experience with Advantage Financial

Statement analysis and reconciliation

Selection Plan

Applicants who meet the minimum qualifications will be evaluated on the education and work experience in their employment profile and the responses to their supplemental questions. The highest scoring applicants will then be invited to participate in the next phase of the recruitment process: 

  • Presentation and Oral Board Interviews will be held the week of September 24, 2018 and/or the week of October 1, 2018

Upon completion of all examination processes, the highest scoring applicants will be placed on an Eligibility List.  An applicant's ranking on the list will be based on their final score which will be calculated as:

  • 10% of your rating for education and experience
  • 45% of your presentation
  • 45% of your Oral Board Interview
