POSITION DUTIES

The Maryland Department of Public Safety and Correctional Services ("DPSCS" or the "Department"), Office of Procurement Services is seeking to fill a position for Management Associate to support the Executive Director and Deputy Director of Procurement Services.  The Office of Procurement Services is a centralized procurement unit within DPSCS that is responsible for purchasing and contracting goods and services necessary to meet the operational need of the Department.  The Management Associate will handle a variety of administrative tasks, including coordinating and managing the Executive Director’s schedule, arranging meetings and events, and assisting with special projects as needed. The successful candidate is experienced, proactive and highly detail oriented, with strong communication skills and the ability to be flexible and adapt to changing priorities and environments. Excellent organizational and time management skills, with the ability to prioritize tasks and manage multiple deadlines effectively is highly desirable. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and the Google Suite (Gmail, Google Drive, Google Documents) is essential in this position.  This position requires the Management Associate to perform advanced administrative duties with exposure to sensitive information necessitating tact, diplomacy, discretion and judgment. Strong integrity is essential and the candidate must be comfortable working in a high energy and collaborative professional environment.

Job responsibilities include, but are not limited to: 
  • Coordinate and manage the the Executive Director and Deputy Director’s schedule by planning and scheduling meetings; prioritizing functions and appointments; ensuring that meetings, deadlines, presentations and logistics are handled seamlessly; ability to re-work and de-conflict calendar schedules and identify knowledgeable individuals to attend meetings on behalf of the Executive Director and Deputy Director. 
  • Attends meetings on the Executive Director and Deputy Director’s behalf and takes meeting notes, provides meeting summaries, and follows up on meeting action items. 
  • Works closely with other senior team members to coordinate and submit weekly reports.
  • Serves as the primary point of contact for internal and external customers on the telephone, responding to inquiries and requests in a professional and timely manner. 
  • Drafts correspondences, prepares memos, reports, presentations and other documents, as needed. 
  • Assists with the organization and coordination of meetings, conferences, and special events, including logistics and materials preparation.

MINIMUM QUALIFICATIONS

Applicants must meet all minimum (and selective) qualifications to be considered, and to appear on the list of people eligible for hire. Please read all requirements before applying.

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Five years performing secretarial work or clerical work involving typing duties.

Notes:

1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.

2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted at the rate of thirty credits for one year of experience for up to two years of the required experience.

3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration or Personnel Specialist classifications or Administrative, Clerical, or Office Services specialty codes in the Special Assistant or Secretarial fields of work on a year-for-year basis for the required experience.

DESIRED OR PREFERRED QUALIFICATIONS

Preference will be given to applicants who possess the following preferred qualification(s). Include clear and specific information on your application regarding your qualifications.
1. Experience, supporting executives by taking notes during meetings, providing meeting summaries and fielding phone calls.  
2. Experience drafting correspondences, preparing memos, reports, presentations and other documents.  
3. Experience coordinating conferences and special events, including logistics and materials preparation.

SPECIAL REQUIREMENTS

Demonstrated ability to accurately type on a typewriter or keyboard on a personal computer, computer terminal or word processor at a minimum of forty words per minute may be required, depending on the specific requirements of the position.

SELECTION PROCESS

BENEFITS

Contractual employees who work for an agency covered under the State Employee and Retiree Health and Welfare Benefits Program, have a current employment contract and work 30 or more hours a week (or on average 130 hours per month) may be eligible for subsidized health benefits coverage for themselves and their dependents. As a contractual employee, you will be responsible for paying 25% of the premiums for your medical and prescription coverage, including any eligible dependents you have enrolled. The State of Maryland will subsidize the remaining 75% of the cost for these benefits. You can also elect to enroll in dental coverage, accidental death and dismemberment insurance, and life insurance, but will be responsible to pay the full premium for these benefits.

Leave may be granted to a contractual employee who has worked 120 days in a 12 month period. This leave accrues at a rate of one hour for every 30 hours worked, not to exceed 40 hours per calendar year.
