LOCATION OF POSITION
Main Purpose of Job
This position is responsible for providing direct assistance and customer service to internal and external clients of the Public Safety Education and Training Center(PSETC). The position functions as a Guest Services Specialist and has the responsibility of assisting the Guest Services Unit and other operational units with day-to-day support functions of the training center. Primary functions are managed within the Guest Services Unit in assisting with reception desk functions, updating schedules, generating work orders conducting facility inspections and inventory and planning special event requests through the preparation of work orders and coordination of logistics between units.
POSITION DUTIES
*Provides back up support to the receptionist on a daily basis, providing customer service to all visitors and guests of the PSETC.
*Provides administrative support to the Guest Services Administrator, including preparation of written correspondence, review of forms, processing reservations and preparation of billing statements.
*Prepares requisitions for replenishment of supplies for the office and shared workroom areas.
*Conducts facility inspections in public areas, classrooms and residence hall rooms for cleanliness, safety and maintenance issues.
*Review and maintain printed materials. Prepare and distribute updates as necessary for visitor notebooks in residence halls, facility brochures and other documents.
*Assist with administrative functions related to overnight guest accommodations, including preparation of check-in materials, data entry of reservation details, printing labels, weekly review of billing statements and distribution to guests and fiscal office.
*Provides assistance to other operational units of the Center, including production of materials at the print shop, basic housekeeping functions, shredding, filing and other administrative support.
MINIMUM QUALIFICATIONS
Education: Graduation from an accredited high school or possession of a high school equivalency certificate.
Experience: Three (3) years of experience performing administrative staff or professional work.
SELECTIVE QUALIFICATIONS
At least two years of experience working with various software systems, including Microsoft Word and Excel.
At least two years of experience performing in-person customer service in a hospitality or professional work environment.
Must have the ability to walk and/or stand for long periods of time.
