LOCATION OF POSITION
Main Purpose of Job
POSITION DUTIES
The
Admin Officer serves as the office manager supporting various units within the
Maryland Higher Education Commission (MHEC), ensuring efficient office
operations and customer service delivery. This role plays a critical part in
handling cash receipts, managing invoices, procuring goods and services,
assisting with payroll operations, and maintaining inventory. Additionally, the
incumbent serves as the primary point of contact for public inquiries and facilitates
communication within the agency.

- Handle cash receipts
reconciliation, manage the destruction of old deposited checks, answer and
route calls, respond to inquiries from students and stakeholders, and
assist in agenda materials preparation.
- Manage MHEC invoice email
box, track and reconcile invoices, investigate payment statuses, and
ensure timely processing of invoices.
- Procure supplies and
equipment, and manage reservations for work-related travel and training in
compliance with state policies.
- Handle the mailroom's
efficient operations, including receiving, sorting, distributing, and
processing incoming and outgoing mail and packages.
- Assist in processing regular
and contractual payroll, participate in fiscal year-end closeouts, and
attend payroll meetings in the absence of the timekeeper.
- Maintain physical inventory,
manage property disposal, and oversee fixed assets.
- Perform other duties as
assigned by supervisors.
MINIMUM QUALIFICATIONS
Education: Graduation from an accredited high school or possession of a high school equivalency certificate.
Experience: One year of administrative staff or professional work.
Notes:
1. Candidates may substitute 30 college credit hours from an accredited college or university for the required experience.
2. Candidates may substitute U.S. Armed Forces military service experience as a commissioned officer involving staff work that included regular use of independent judgment and analysis in applying and interpreting complex administrative plans, policies, rules or regulations or analysis of operational programs or procedures with recommendations for improvement on a year-for-year basis for the required experience.
