Main Purpose of Job

The main purpose of the Intake Administrative Officer I is to provide confidential administrative work to the Intake Director, Case Management Specialist Supervisor, Case Management Specialist Supervisors, Administrators, Stakeholders, and Administrative Staff. The duties of the position require regular use of independent judgment/authority and analysis in applying and interpreting complex administrative plans and policies. This position coordinates the administrative operations of the Baltimore City Intake, including statistical projects, personnel matters, timeline management, and office equipment, and supervises professional, technical, and clerical staff.

Note: This is a front desk position interacting with the public and other agencies.

POSITION DUTIES

  •   Prepare or supervise the preparation and development of management tools for Baltimore City Intake such as correspondence, statistical reports, organizational charts, procedural manuals, and performance measurement criteria.
  • Complete monthly Intake Booking Reports and Centralized Intake Reports and submit to the Shift Supervisor or designated person. Ensure all tracking forms, when necessary, are completed and submitted.       
  • Supervise Intake professional, technical, and clerical staff. Review time entry sheets for accuracy before approval. Meet with staff to prepare PEPs and evaluate their performance. Participate in the screening and hiring of new Intake employees.

MINIMUM QUALIFICATIONS

Education:   Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: One year of administrative staff or professional work.

Notes:

1. Candidates may substitute 30 college credit hours from an accredited college or university for the required experience.

2. Candidates may substitute U.S. Armed Forces military service experience as a commissioned officer involving staff work that included regular use of independent judgment and analysis in applying and interpreting complex administrative plans, policies, rules or regulations or analysis of operational programs or procedures with recommendations for improvement on a year-for-year basis for the required experience.

SELECTIVE QUALIFICATIONS

Applicants not using education substitution for experience must have at least one year of experience working with emotionally or socially maladjusted, delinquent, victimized, or exceptional juveniles in a secure or residential setting.

DESIRED OR PREFERRED QUALIFICATIONS

Preference will be given to applicants who possess the following preferred qualification(s). Include clear and specific information on your application regarding your qualifications.
  • At least one year of experience supporting executive and senior leadership staff.
  • Proficient experience working with Microsoft Office Suite (i.e., Word, Excel, PowerPoint, etc.).  
  • One year of experience as a lead or in a supervisory role. 
  •  Strong written and oral communication skills. 
  • Ability to prioritize and multi-task effectively. 
  • Strong time management, priority setting, and problem-solving skills.

LICENSES, REGISTRATIONS AND CERTIFICATIONS

Employees in this classification may be assigned duties which require the operation of a motor vehicle. Employees assigned such duties will be required to possess a motor vehicle operator’s license valid in the State of Maryland.
