POSITION DUTIES

The main purpose of this position is to provide administrative oversight and continued program development through knowledge of specific policies, procedures, compliance, funding, etc. to support the mission, goals and objectives of the Family Services and Family Investment Administrative Department within Charles County Department of Social Services.

This position is responsible for managing all resources including supporting the hiring of staff to move the mission of the divisions forward thus assisting in creating high level services for families, adults and children in the local community. The program area for which this job is responsible includes overseeing and developing associated clerical workers allocated to each division, as well as providing administrative support to the Deputy Director. 

  • Provides high-level administrative assistance to the Deputy Director. Acts as an intermediary for the division maintaining contacts with pubic and private executives, professional personnel, and other officials. Collaborates closely with Family Services Leadership, the Quality Assurance Team, and Family Investment Administration.
  • Assists in monitoring and review of compliance and fiscal reporting.
  • Develops and implements procedures to improve clerical operations for the divisions with specific focus on administrative processes.
  • Composes correspondence, minutes statements, tables, forms, etc. as needed.

MINIMUM QUALIFICATIONS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Five years performing secretarial work or clerical work involving typing duties.

Notes:

1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.

2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted  at the rate of thirty credits for one year of experience for up to two years of the required experience.

3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration or Personnel Specialist classifications or Administrative, Clerical, or Office Services specialty codes in the Special Assistant or Secretarial fields of work on a year-for-year basis for the required experience.

DESIRED OR PREFERRED QUALIFICATIONS

Preference will be given to applicants who possess the following preferred qualification(s). Include clear and specific information on your application regarding your qualifications.

Three years experience drafting and managing schedules and organizing and preparing meetings.
Three years experience in Microsoft suite and Google platform.
Three years experience in database spreadsheets, charts, and report preparation.

SPECIAL REQUIREMENTS

Demonstrated ability to accurately type on a keyboard of a personal computer at a minimum of forty words per minute may be required, depending on the specific requirements of the position.

  • Personal Leave - new State employees are awarded six (6) personnel days annually (prorated based on start date).
