This is an internal recruitment limited to current permanent, contractual and temporary Maryland State Police (MSP) employees.

Main Purpose of Job

Provides administrative assistance to the Commercial Vehicle Enforcement Division Commander, Assistant Commanders, Executive Officer and First Sergeants by performing a variety of duties which require an extensive knowledge of the Department of Maryland State Police regulations as well as office techniques, practices and procedures.

POSITION DUTIES

Duties include but are not limited to:

  • Provides administrative support to the Commander and to the staff of the Commercial Vehicle Enforcement Division (CVED).
  • Responsible for preparing official correspondence and forms for the Command Staff.
  • Compiles information from notes, corrected copy, rough draft or detailed instructions into final form.
  • Prepares highly sensitive reports for the Division Commander, Assistant Commander and Regional Command Staff regarding Departmental operations, investigations, personnel matters, etc.
  • Coordinates meetings and schedules to ensure the efficiency of office operations.
  • Proofreads outgoing correspondence and reviews records for completeness and accuracy.
  • Independently handles the preparation of correspondence to motor carriers and drivers when checks (for payment of citations) are received by mail.
  • Uses independent judgment in responding to requests for information and for the processing of requests for driver/vehicle inspection reports.
  • Prepares Check Accountability Form and bank deposit slips for all fees associated with the distribution of these reports.
  • Files correspondence and reports in accordance with established Departmental procedures and retrieves information when needed.
  • Performs other related duties as assigned.

MINIMUM QUALIFICATIONS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Four years performing secretarial work or clerical work involving typing duties.

Notes:

1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.

2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted at the rate of thirty credits for one year of experience for up to two years of the required experience.

3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration classifications or Administrative, Clerical, or Office Services specialty codes in the Administrative Support field of work on a year-for-year basis for the required experience.

DESIRED OR PREFERRED QUALIFICATIONS

Preference will be given to applicants who possess the following preferred qualification(s).  Include clear and specific information on your application regarding your qualification(s).

  1. Three years of experience using the following computer software: Word, Excel, Powerpoint, Gmail, Google Docs, Google Drive
  2. Two years of professional experience directly supervising, managing and documenting an employee's work performance

SPECIAL REQUIREMENTS

Demonstrated ability to accurately type on a keyboard on a personal computer at a minimum of forty words per minute may be required, depending on the specific requirements of the position.

In accordance with Section 2-204(b)(6) of the Public Safety Article, candidates for position in this classification will be subject to an initial drug screening and a complete criminal background investigation to include a polygraph examination before permanent appointment can be made. A criminal conviction may be grounds for rejection of the candidate.

Employees in this classification are subject to substance abuse testing in accordance with Code of Maryland Regulations 17.04.09, Testing for Illegal Use of Drugs.

SELECTION PROCESS

Only candidates who meet the minimum qualifications will be considered for this classification. Therefore, it is essential that you provide complete and accurate information on your application. Successful candidates will be placed on the Eligible List categorized as BEST QUALIFIED, BETTER QUALIFIED or QUALIFIED and remain eligible for consideration for at least one year from the date of examination. The list will be used by the hiring manager to select employees. The list will be valid for one year.

EXAMINATION PROCESS

The examination will consist of a rating of your education, training and experience related to the requirements of the position. You may be required to complete a qualifications supplement, or the rating may be based on your application. Report all experience and education that is related to this position.
