Main Purpose of Job

Provide support to the Deputy Directors, the Rep Pay Committee and to the Director in the absence of the Director’s assistant as well as oversee and maintain the Department of Human Services (DHS) Customer Service Center’s work order process as it pertains to services issues at Anne Arundel County Department of Social Services (AADSS).

POSITION DUTIES

  • Perform secretarial and administrative functions for the Director and Deputy Directors to include prepare form letters, maintain the Deputy Directors’ schedules, screen phone calls to the Office of the Director or Deputy Directors, handle customer telephone inquiries and complaints by providing requested information to caller or referring the call to the appropriate unit for handling.
  • Retrieve incoming mail, faxes and emails and distribute to units for appropriate handling, accept and log subpoenas and/or other court documents delivered by the sheriff’s department, private process server or mail and ensure delivery to agency attorneys and appropriate staff, greet and direct visitors to the Annapolis office attending meetings with executive leadership, maintain agency conference room calendars, and keep up to date files for the Assistant Director.
  • Provide support and services to the Rep Pay program by facilitating meetings - schedule and confirm mutually agreed upon time for committee members, prepare agendas, collect and organize documents, attend and prepare minutes; maintain organized paper and/or electronic files; review information and be prepared to answer questions or provide information or data to DSS leadership, committee members or customers.
  • Provide mass care and sheltering to surviving persons following a disaster affecting residents of Anne Arundel County and the State of Maryland when necessary. These duties may include manning a shelter or assisting residents to file for assistance from FEMA or State programs and attend all required training.
  • At the direction or request of the Management Associate (MA) to the Director or, in her absence, provide assistance to the Director in scheduling meetings and meeting space, update employee leave schedule, screen the Director’s calls and, when necessary, take messages or refer the call appropriately, ensure satisfactory operation of the Director’s office and report on any activities to the MA assist in short term special projects.

MINIMUM QUALIFICATIONS

Applicants must meet all minimum (and selective) qualifications to be considered, and to appear on the list of people eligible for hire. Please read all requirements before applying.

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Four years performing secretarial work or clerical work involving typing duties.

Notes:

1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.

2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted at the rate of thirty credits for one year of experience for up to two years of the required experience.

3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration classifications or Administrative, Clerical, or Office Services specialty codes in the Administrative Support field of work on a year-for-year basis for the required experience.

DESIRED OR PREFERRED QUALIFICATIONS

Preference will be given to applicants who possess the following preferred qualification(s). Include clear and specific information on your application regarding your qualifications.

Two years of experience using Microsoft office and Google applications. 

One year of experience providing customer service experience to internal and external customers. 

One year of experience maintaining a calendar and schedule for executive staff members.

SPECIAL REQUIREMENTS

Demonstrated ability to accurately type on a keyboard on a personal computer at a minimum of forty words per minute may be required, depending on the specific requirements of the position.

  • Personal Leave - new State employees are awarded six (6) personnel days annually (prorated based on start date).
  • Annual Leave - ten (10) days of accumulated annual leave per year.
  • Sick Leave - fifteen (15) days of accumulated sick leave per year.  
  • Parental Leave - up to sixty (60) days of paid parental leave upon the birth or adoption of a child.
  • Holidays - State employees also celebrate at least twelve (12) holidays per year.  
  • Pension - State employees earn credit towards a retirement pension.
  • Positions may be eligible for telework.
