Main Purpose of Job

This position provides administrative and technical assistance for processing correspondence associated with the MOSH operations. This position assists the supervisors with the administrative processes, receives and processes case filing requests and accurately enters pertinent data into all database. Includes assisting with complaint processing and evaluation while assisting the public in the utilization of the agency's enforcement resources.

POSITION DUTIES

Update MOSH Operations database and case files by recording information and documentation received from Operations, regional supervisors, employers, ensuring accuracy and time restraints. Update data from compliance inspectors regarding case dispositions, abatement, and informals. If needed, process payments received from employers, and file cases in their appropriate locations. Participate in preparing daily and monthly reports for supervision on completed and pending case load. Assist with purging case files, and review cases to determine required actions. May assist with requesting case files from archives.

Maintain office coverage in the front and/or back office while adhering to departmental policies and procedures and while demonstrating good customer service. Tasks may include fielding public phone calls, directing callers to the appropriate resource, obtaining and recording accident/fatality information, directing urgent information promptly to the Chief of Compliance and Regional Supervisor.

Assist with MOSH Operations for unprogrammed activities which may include processing formal and non-formal complaints, executing close-out and next-of-kin letters, and contacting complainants or other parties to obtain additional information.

Perform office secretary duties as a fill-in for a regional secretary which may include tasks, such as: check case files and citations for completeness, conformity and accuracy in preliminary regional review stages; enter information into the regional case file tracking database before submitting to Regional Supervisor or Operations; verify basic completeness of expense reports before submitting to the Regional Supervisor for signature; coordinate informal conferences through correspondence with the regional supervisor and employers; prepare Informal Settlement Agreements.

May assist in preparations of final reports within MOSH and make recommendations for improvement in the programs. Perform other duties as assigned by management.

MINIMUM QUALIFICATIONS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Six months of experience performing administrative staff, clerical, clerical technical, or secretarial work.

Notes:

1. Candidates may substitute 30 credit hours from an accredited college or university for the required experience.

2. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer involving staff work requiring regular use of independent judgment and analysis in applying and interpreting rules and regulations in accordance with agency laws and policies on a year-for-year basis for the required experience.

DESIRED OR PREFERRED QUALIFICATIONS

Preference will be given to applicants who possess the following preferred qualification(s). Include clear and specific information on your application regarding your qualifications.

Experience using Microsoft Office Suite, including Word, Excel, and Power Point, Google Docs to share Excel spreadsheets and other documents. 

Experience creating reports and databases for tracking purposes.

LICENSES, REGISTRATIONS AND CERTIFICATIONS

Employees in this classification may be assigned duties which require the operation of a motor vehicle. Employees assigned such duties will be required to possess a motor vehicle operator’s license valid in the State of Maryland.

SPECIAL REQUIREMENTS

All candidates are subject to a background check against files maintained by the Division of Unemployment Insurance (Labor/DUI) to determine whether any monies are owed to Labor/DUI as a result of unemployment insurance overpayment/fraud. Any unpaid debt may have an impact on whether or not a candidate is offered employment.
