LOCATION OF POSITION
POSITION DUTIES
- Plans, schedules and directs the work of the Intake Reviewers and clerical team by developing work methods and procedures to produce results in accordance with the divisional mission, goals and established policies and procedures.
- Evaluates direct reports (subordinate staff) performance by observing, monitoring and reviewing work produced by staff.
- Instructs and guides Intake Reviewers and clerical staff by providing on the job Training and recommends formal training for subordinates when appropriate.
- Maintains important and confidential files, personal files and records, mailing lists, general files, procedural files and open and closed case files.
- Answers phones, screens calls, takes appropriate messages, schedules appointments, answers general questions regarding state employment, and job opening, and determines the degree of information allowed in relationship to confidentially laws of the state.
- Uses computer and word processing software and peripheral equipment to produce correspondence, reports, tables from rough draft or corrected copies, and edits grammar, punctuation and spelling. Distributes finalized documents, sometimes without prior supervisory review.
- Assembles and completes a variety of reports, post information to record, log, and maintain established files in a variety of v formats including electronic files and databases.
- Performs other duties as required.
MINIMUM QUALIFICATIONS
Education: Graduation from an accredited high school or possession of a high school equivalency certificate.
Experience: Four years of experience performing clerical duties.
Notes:
1. Additional experience performing clerical duties may be substituted on a year-for-year basis for the required education.
2. Applicants may substitute education from an accredited college or university at the rate of thirty semester credit hours for one year of experience on a year-for-year basis for the required experience.
3.Six months clerical training with three courses in subjects such as keyboarding, clerical math, word processing, spreadsheets, database, graphics presentation, proofreading, or office etiquette may be substituted for six months of the required experience.
4. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration classifications or Administrative, Clerical or Office Services specialty codes in the Administrative Support field of work on a year-for year basis for the required experience.
