Introduction
The Maryland Historical Trust (MHT) is the
state agency dedicated to preserving and interpreting the legacy of Maryland’s
past. Through research, conservation, and education, the Maryland Historical
Trust assists the people of Maryland in understanding their historical and
cultural heritage. Part of the Maryland Department of Planning (MDP), the
Maryland Historical Trust serves as Maryland’s State Historic Preservation
Office (SHPO) pursuant to the National Historic Preservation Act of 1966.
Jefferson Patterson Park and Museum (JPPM), a unit
of the Maryland Historical Trust, within the Maryland Department of Planning,
is recruiting for a full time, permanent Event Manager.
JPPM is located on 560 scenic acres along the
Patuxent River in Calvert County, Maryland, and is the State Museum of
Archaeology and a center for both regional and statewide archaeological
research. It is home to the Maryland Archaeological Conservation
Laboratory (MAC Lab), which houses over eight million artifacts.

archaeology and
supports the preservation of Maryland’s cultural and natural resources.

Main Purpose of Job
POSITION DUTIES
JPPM Event Coordination
Leads the collaborative planning and execution
of JPPM-organized special public programs and events, involving Administration
and other staff, and leads the evaluation of events after the fact for their
impact on JPPM property, staff, mission, and budget. Coordinates staff and
volunteer roles for each event. For JPPM special public programs
and events, negotiates entertainment contracts, coordinates with event
partners, manages vendor relationships, and oversees on-site logistics,
including staffing of events and scheduling security and EMTs. Ensures
that events are conducted responsibly and safely. Works
collaboratively with JPPM’s Administration and other staff to develop, plan,
and implement new special public programs and events as needed.
Works with Patterson Administrator, Executive Director, and other departmental
units to determine overall scheduling of all events and activities on site,
including JPPM-organized events, JPPM-sponsored events, JPPM-cohosted events,
and External Park-Leased events occurring on site, and venue rentals for
private events, with input from % OF TIME AND/ OR WEIGHT OF IMPORTANCE
JOB DUTY other staff and taking into consideration the impact on JPPM property,
staff, and budget. Works with the Outreach Coordinator to review volunteer
schedules for events and organize volunteer activities during
events.
Private Event Coordination
Works with clients who are renting and using
JPPM for private events. This includes initial meeting and tour of the site,
keeping track of payments, deposits, due dates, and delinquencies, follow up
meetings for coordination needs, and day-of availability if needed. In
collaboration with the Patterson Administrator, Executive Director, and other
departmental units, develops, revises, evaluates, and recommends operational
and usage policies relating to private event usage at JPPM. This includes the
application of State of Maryland, MDP, MHT, and JPPM policies affecting private
event usage at JPPM. Coordinates private event usage, needs, and
workflows with other departments at JPPM to ensure successful implementation of
the events. In collaboration with the Patterson Administrator, manages
the marketing and brand development of the private events usage at JPPM. This
includes website design and oversight, marketing emails, social media, and
other communications channels used for private event rentals in the area.
Plans, organizes, and supervises the work of staff who support private event
rentals at JPPM. This includes hiring, training, disciplining, scheduling, and
setting work goals and deadlines. Maintains positive networks and working
relationships with vendors and contractors who provide services to private
events and rentals in southern Maryland.
Other Duties and Responsibilities
Recommends and oversees budgets associated with
the private events usage at JPPM. This includes recommendations and authorized
expenditures for supplies and equipment, outside contractors, marketing, and
staffing.
Responsible for ensuring that the appropriate
furnishing, equipment, and supplies needed for all public and private events is
on hand and in good condition. This includes keeping track of tables, chairs,
tents, and similar equipment used for events and programs. Helps to identify
facility concerns for long-term usage of the site and for visitor and customer
safety.
Participates in site-wide events and activities,
serves on appropriate committees and working groups at JPPM and MHT, and
fulfills other duties as assigned.
MINIMUM QUALIFICATIONS
Possession of a Bachelor’s degree from an
accredited four-year college or university
Two years of experience in administrative or
professional work.
