POSITION DUTIES
The main purpose of this
position is two-fold: 1. Is responsible for the distribution of institutional
mail and the inspection of inmate mail to ensure that no contraband enters the
institution through the mail and 2. To assign, review and approve the
work of and train lower-level Office Clerk II's and staff assigned to help out
in the mail room during heavy mail days when volume of mail is greater than
normal and to accomplish the mission, assumes responsibility of Mail Room
operations during the Office Processing Clerk Supervisors absence.
Assigns,
reviews and approves the work of lower-level clerks and volunteers
Trains lower-level clerks and volunteers in Mail Room Procedures Per DCD 250-1 and equipment usage during periods of heavy mail and during Office Processing Clerk Supervisors absence. Ref MS-22 Office Processing Clerk Supervisor.
Assumes
responsibility of Mail Room operations during Supervisors absence
Assumes responsibility of Mail Room operations and ensures all incoming and outgoing mail is processed accurately and in a timely manner during the Office Processing Clerk Supervisors absence. Ref MS-22 Office Processing Clerk Supervisor.
Types,
edits and processes correspondence.
Types, formats and edits correspondence, reports, forms and other documents from rough draft using the keyboard of a personal computer; Proofreads, reviews and examines typed documents for accuracy, completeness, format and conformity to procedures; Drafts routing non-technical correspondence; Makes copies of correspondence and other material using a copying machine; May create mailing lists and labels using special features or software applications of work processing and computer equipment; May enter, update, verify and retrieve data using computer data base or spreadsheet software application.
Answer
telephone calls and answer questions.
May answer telephone calls in order to provide information, take messages or transfer calls for other staff, the general public or inmate families.
Process
incoming and outgoing inmate mail, in-house mail and other
duties
Sorts, locates, inspects for contraband incoming inmate mail; Writes money order receipts; Sorts and distributes in-house mail; Creates, updates and maintains logs, lists and rosters; Orders, receives and stores office supplies; Ref MS-22 Office Clerk II.
Process
inmate indigent mail
The indigent mail is verified
in MOBS to ensure that inmates qualify for indigent mailing.
Total postage used is calculated and the daily log of postage used is updated.
MINIMUM QUALIFICATIONS
Education: Completion of the eighth grade.
Experience: One-year experience performing clerical duties in an
office environment.
Notes:
1. Additional experience performing clerical duties may be
substituted on a year-for-year basis for the required education.
2. Graduation from an accredited high school or possession of a
high school equivalency certificate may be substituted for six months of the
required experience.
3. Six months clerical training with three courses in subjects
such as keyboarding, clerical math, word processing, spreadsheets, data base,
graphics presentation, proofreading, or office etiquette may be substituted for
six months of the required experience.
4. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration classifications or Administrative, Clerical or Office Services specialty codes in the Clerical Support field of work on a year-for-year basis for the required experience.
DESIRED OR PREFERRED QUALIFICATIONS
Graduation from an accredited high school or possession of a high school equivalency certificate.
One-year experience performing clerical duties in an office environment.
