POSITION DUTIES

This position functions as an Office Secretary III, providing support to staff and personnel in the department by processing certification and recertification of EMS personnel (pre-hospital clinicians) for Basic Life Support programs for the State of Maryland.

  • Perform various office duties as needed using office technology to include xeroxing, faxing, printing, scanning, and filing
  • Process certification and recertification of pre-hospital clinicians by using the new OCS system (Image Trend): This job function involves processing applications that is submitted through Image Trend which includes: Initial EMT certification, initial EMR certification, renewal, change of name, extension request, surrender, reciprocity, reinstatement, affiliations. Upon completion of a class, verify that class is on provider's training record. When the applicant used paper form, process accordingly.
  • KACE system: Process request according to the help desk request
  • Mail duties: processing the daily flow of incoming and out-going-mail, opening mail, date stamping and distributing to the appropriate person. Entering checks to QB. Outgoing mail is sorting by weight, stamped and mailed.
  • Handle routine phone calls: Requires the ability to screen and route all calls to the appropriate person/coordinator. Also involves providing alternatives to callers when the person they wanted to speak with is unavailable.
  • Perform various office duties as needed using office technology to include xeroxing, faxing, printing, scanning, and filing
  • Prepare the deposits daily, as needed. Deposits are verified by the supervisor.

MINIMUM QUALIFICATIONS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Three years performing secretarial or clerical work involving typing duties.

Notes: 

1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.

2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted at the rate of thirty credits for one year of experience for up to two years of the required experience.

3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration classifications or Administrative, Clerical, or Office Services specialty codes in the Administrative Support field of work on a year-for-year basis for the required experience.  

DESIRED OR PREFERRED QUALIFICATIONS

Preference will be given to applicants who possess the following preferred qualification(s). Include clear and specific information on your application regarding your qualifications.

  • Experience processing certification and recertification of pre-hospital clinicians by using the new OCS system (Image Trend). 
  • Experience scheduling and administering for both BLS and ALS clinicians.

SPECIAL REQUIREMENTS

Demonstrated ability to accurately type on a keyboard of a personal computer at a minimum of forty words per minute may be required, depending on the specific requirements of the position.
