Main Purpose of Job

The main purpose of this position is to provide clerical and para-professional functions within the Recruitment, Eligibility, Outreach and Classification Unit (Recruitment).  This position will also provide administrative support to the HR Officers and front desk of the Employment Services Unit and the Recruitment Eligibility, Outreach and Classification Unit.  This position will handle all filing needs (paper and digital), all incoming phone calls, walk in and emails, providing status updates to applicants and employees using the JobAps and Workday Systems.  The position is responsible for updating and maintaining the MDH Vacancy Report with recruitment posting and closing dates, interview dates, updating with new vacant pin, removing filled positions, analyzing the job clusters to determine if a generic job posting needs to be done (e.g. same classification, same duties, different departments) and communicating this information with the Recruitment Chief.  This position will also be responsible for Workday processing of classification and salary transactions.  Filing paper files and maintaining the digital file of the Recruitment Division. This position will pick up and distribute the mail to all HR units, as well as opening the mail for the Recruitment Unit and the Employment Unit.

Incumbent will need strong “multi-tasking” capability as walk-in/call-in interruptions are regular in occurrence. This position will also contribute to auditing facilities recruitments and participating on interview panels.  This position may require some travel.

MINIMUM QUALIFICATIONS

Education:  Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience:  One year of general clerical or administrative support experience, at least six months must have been paraprofessional personnel experience involving the application of personnel procedures, policies, rules, and regulations to specific employment actions. Appropriate paraprofessional personnel experience should have included responsibility for activities such as, preparing and maintaining employment records, calculating salaries, applying and interpreting rules and policies, preparing personnel-related reports, counseling employees regarding benefits and obligations, and responding to inquiries concerning employment actions.

Note: Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in human resources assistance classification or human resources assistance specialty codes in the human resources management field of work on a year-for-year basis for the required experience.

DESIRED OR PREFERRED QUALIFICATIONS

Preferred candidates should possess the following:

  • Excellent customer service skills;
  • Experience with multi-tasking;
  • Experience with Microsoft Office systems and Google Suites;
  • Experience with human resources and/or recruitment.
