Main Purpose of Job

The Operations Coordinator provides operational and administrative support for the development, implementation, and management of programs that support the Maryland State Department of Education (MSDE) Office of Teaching and Learning, as well as oversees internal and external stakeholder partnerships at the State and local levels. The incumbent will plan, organize, develop, manage, and coordinate special projects which includes generating ideas, providing feedback from key stakeholders, and achieving Department goals, objectives, and milestones determined by Senior Management.

This key operations position coordinates and completes specialized duties that support internal efforts and initiatives specific to the Blueprint for Maryland’s Future and Maryland State Department of Education’s multi-year Strategic Plan. Further, the position ensures that operational tasks are completed in accordance with policies, regulations, and guidelines to support students, teachers, and educational support staff with safe, healthy, and educationally supportive learning environments.  

POSITION DUTIES

Coordinates programs and initiatives by identifying, developing, and implementing activities and events that support efforts and initiatives specific to the Blueprint for Maryland’s Future and Maryland State Department of Education’s multiyear Strategic Plan.

Responsibilities include:  
  • Coordinates and completes assigned projects including information requests, status tracking, preparation of high-quality written correspondence, letters, memos and other documents using industry standard software and systems such as Microsoft, Adobe, and Google.  
  • Provides program management and administrative support for events and programs from conception to execution.  
  • Analyzes request and information and determines which process or action is necessary and prepares appropriate correspondence.  
  • Coordinates and provides administrative support for office and division-specific projects.  
  • Acquires and allocates resources, including financial resources.  
  • Coordinates and monitors office supplies and ensures required supplies are procured and available for agency staff.  
  • Creates databases, spreadsheets and other tools demanded by projects.  
  • Serves as a liaison to the Office of Facilities and Operations to record inventory in the appropriate systems.  
  • Serves as liaison to the Office of Human Resources to coordinate staffing and new employee onboarding processes.

MINIMUM QUALIFICATIONS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Four years of administrative staff or professional work.

1. Candidates may substitute 30 college credit hours from an accredited college or university for each year up to four years of the required experience. 
2. Candidates may substitute the possession of a Bachelor's degree from an accredited college or university for the required experience. 
3. Candidates may substitute the possession of a Master's degree from an accredited college or university for the required experience. 
4. Candidates may substitute U.S. Armed Forces military service experience as a commissioned officer involving staff work related to the administration of rules, regulations, policy, procedures and processes, or overseeing or coordinating unit operations or functioning as a staff assistant to a higher ranking commissioned officer on a year-for- year basis for the required experience.

DESIRED OR PREFERRED QUALIFICATIONS

Preference will be given to applicants who possess the following preferred qualification(s). Include clear and specific information on your application regarding your qualifications.

  • Experience in Office Management and coordination of multiple managers. 
  • Proficient in Microsoft Office, Google Suite and online productivity tools. 
  • Experience working with grants. 
  • Experience working with or processing financial records, expense reports and/or invoices. 
  • Experience in accurately preparing monthly reports. 
  • Experience preparing documents, correspondences and presentations. 
  • Ability to exercise judgement and discretion in applying and interpreting departmental policies, laws, rules, regulations and procedures. 
  • Experience providing coordination and program support to projects and initiatives.

SPECIAL REQUIREMENTS
