The Department of Public Safety and Correctional Services (DPSCS) is seeking dedicated candidates to fill important roles within our department. POSITION DUTIES
The main purpose of this position is to provide professional
accounting support to the Office of Financial Services – Accounting Division.
Areas of responsibility include: account management and reconciliations; budget
management; and fiscal support to management.
1.Maintains, analyzes, and adjusts account balances: Responsible for the following accounting functions: daily/monthly credit card payments application to invoices & reconciliation; recording cash receipts, logging mailed-in checks and reconciling with deposit slips, investigating and clearing cash receipts and charge backs made by the State Treasurer’s Office; investigating and reconciling clearing accounts with necessary adjustment JEs. Preparation and releasing of daily journal entries as may be assigned.
2. Provides Budget Management Support: Responsible for updating expenditure tabs on the projection file on a daily/monthly basis for ITCD to support the Fiscal Officer. Duties include: extracting necessary reports for budget preparation once available and save them on the shared drive; reviewing and updating budget expenditure tabs daily/monthly and inform supervisor or the fiscal officer for coding errors and necessary adjustments; reviewing daily and/or monthly the expenditure tabs and/or encumbrance reports to detect errors and notify the supervisor or the fiscal officer for any appropriate and necessary adjustments. Assist the department during year end closing and budget submission activities as may be assigned.
OTHER TASKS:
•Prepares detailed accounting
analysis and investigates any accounting related issues such as invoices,
chargebacks, past incorrect JEs that may possibly affect clearing accounts,
revenues, and expenditures as requested by her supervisor and/or senior
management of accounting unit.
•May be asked to assist
supervisor and/or the fiscal officer to communicate with IT department, A/P,
procurement associates and STO’s office for further investigation of accounting
related issues.
•Participates in the year end
closing and budget submission exercise of the Department’s fiscal operations by
providing, at the direction of the supervisor, and/or senior staff, preparation
and analysis of actual expenditures. May also assist in the formulation and
implementation of corrective action plans precipitated by projection
exceptions.
•Prepares the periodic request
for expenditure reclassification and adjustment journal entries as may be
requested or assigned.
MINIMUM QUALIFICATIONS
Education: A Bachelor's degree in Accounting from an accredited college or university, including or supplemented by three credit hours in auditing.

Notes:
1. Candidates may substitute a Bachelor’s degree from an accredited college or university with thirty credit hours in Accounting and related courses, including or supplemented by three credit hours auditing, for the required education.
2. Applicants who have met the requirements for admission to the CPA examination prior to July 1, 1974 will be considered to have met the educational requirement referenced above.
DESIRED OR PREFERRED QUALIFICATIONS
- Experience preparing and processing financial transactions.
- Experience creating expenditures, disbursements, and receipts in an accounting system and/or complex database system.
