The Department of Public Safety and Correctional Services (DPSCS) is seeking dedicated candidates to fill important roles within our department. POSITION DUTIES
This administrative support position serves the
DPSCS Chief Medical Officer (CMO) and Deputy Director of Clinical Services
requiring regular independent judgment and analysis when applying and
interpreting administrative plans and/or policies. This position assists with,
coordinates, compiles/processes data for, and maintains tracking databases for
assigned programs, primarily the morbidity/mortality program and the Public
Information Act representation for Clinical Services. The position serves as a
liaison between Clinical Services and DPSCS Commissioners, Wardens, other
programs and offices within the department, and the contracted health care
vendors.
The position will receive all notifications of
death of individuals under DPSCS custody and follow through with the contracted
medical vendor, the Agency Contract Operations Managers, and the Intelligence
and Investigative Division to receive and process all death-related documents
as required by policy. The position is responsible for receiving and processing
all PIA requests directed to Clinical Services and must support the Chief
Medical Officer's office by gathering and providing relevant information in
response to media requests.
The position shall possess the skills necessary
to draft memoranda as requested on behalf of the CMO and Deputy Director of
Clinical Services, manage meeting schedules, take minutes, receive and
coordinate responses to family/constituent complaints and manage excel
databases for incarcerated individuals' deaths and PIA requests.
MINIMUM QUALIFICATIONS
Education: Graduation from an
accredited high school or possession of a high school equivalency certificate.
Experience: Five years performing
secretarial work or clerical work involving typing duties.
Notes:
1. Additional secretarial or
clerical experience may be substituted on a year-for-year basis for the
required education.
2. Thirty credit hours with a major
in secretarial science or office technology from an accredited college may be
substituted at the rate of thirty credits for one year of experience for
up to two years of the required experience.
3. Candidates may
substitute U.S. Armed Forces military service experience as a non-commissioned
officer in Administration or Personnel Specialist classifications or
Administrative, Clerical, or Office Services specialty codes in the Special
Assistant or Secretarial fields of work on a year-for-year basis for the
required experience.
DESIRED OR PREFERRED QUALIFICATIONS
1. Experience in creating reports &
storing data in Via Microsoft Excel & Word.
2. Experience managing correspondence from
Incarcerated Individuals and/or their families.
