The Department of Public Safety and Correctional Services (DPSCS) is seeking dedicated candidates to fill important roles within our department. Main Purpose of Job
The position provides administrative support to administrative staff and assist the support services unit, which manages the movement of legal and time sensitive documents related to the confinement and release of offenders and victims.
- Responsible for organization of the filing system. Maintaining the file destruction schedule. Monitor and distribute adult offenders’ records that transfer between commitment offices. Ensuring that inactive files from other commitment offices are filed in the appropriate sections of the filing system.
- Process request and inquiries from PRISM and other outside agencies for adult offenders’ records. Process and distribute incoming US Postal and Interoffice mail to the appropriate units.
- Monitor, track and distribute adult offenders’ initial commitment orders (intake). Make notification to the appropriate institution when the initial commitment orders have not been received in the appropriate time frame.
- Site accountable officer and performs required inventory; Site coordinator for Real Estate Management to address property maintenance and ensure compliance with safety regulations; Site Coordinator for Procurement of office equipment.
MINIMUM QUALIFICATIONS
Education: Graduation from an accredited high school or possession of a high school equivalency certificate.
Experience: Five years performing secretarial work or clerical work involving typing duties.
Notes:
1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.
2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted at the rate of thirty credits for one year of experience for up to two years of the required experience.
3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration or Personnel Specialist classifications or Administrative, Clerical, or Office Services specialty codes in the Special Assistant or Secretarial fields of work on a year-for-year basis for the required experience.
DESIRED OR PREFERRED QUALIFICATIONS
- Experience creating and managing requisitions to order office supplies.
- Experience tracking property, furniture, and equipment for an office space.
