The Department of Public Safety and Correctional Services (DPSCS) is seeking dedicated candidates to fill important roles within our department. POSITION DUTIES
The main purpose of this
position is to assist the Director of the Commitment Records Unit by
identifying, analyzing and resolving administrative, managerial and operational
day to day office procedures and concerns. Act as the liaison between DPDS and
criminal justice agencies on documentation, operational procedure, policies
that may affect the security and public safety mission of the Division of
Pretrial Detention and Services.
Assist the Director in
establishing policies, goals and objectives for the central records unit.
Serves as the liaison between the DPDS and federal, state, county and municipal police departments, sheriff offices, correctional facilities, parole and probation agencies, correctional institutions, detention centers.
Assist in planning, directing and evaluating the daily operations of the Central Records Office which include the following:
● Entering data into the
Offender Case Management System (OCMS) computer system;
● Processing pretrial, mental
health, sentenced and federal Incarcerated Individual commitments;
● Processing writ, detainers,
warrants, indictments, commitment and added charge documents;
● Processing subpoenas;
Processing of extradition, bail release and other court orders;
● Conducting warrant checks via
NCIC, MILES, JIS and CHASE; Processing hit confirmations;
● Computing sentence diminution
credits and release dates; Preparing Incarcerated Individual records for bail
review, trial and other court proceedings;
● Preparing Incarcerated
Individual records for transfer to other correctional and law enforcement
jurisdictions;
● Maintaining active and
inactive Incarcerated Individual records; Verifying Incarcerated Individual
records; Resolving discrepancies in Incarcerated Individual commitment and
criminal history data;
● Microfilming and
repositioning Incarcerated Individual records;
● Disseminating criminal
history information to the public and to criminal justice agencies; Identifying
Incarcerated Individuals for parole hearings and sentence commutations;
● Producing and disseminating
population reports and statistical data; and, a range of other records keeping
and data processing activities.
MINIMUM QUALIFICATIONS
Education: Graduation from an
accredited high school or possession of a high school equivalency certificate.
Experience: Six years of
administrative staff or professional work.
Notes:
1. Candidates may substitute 30
college credit hours from an accredited college or university for each year up
to four years of the required experience.
2. Candidates may substitute the
possession of a Bachelor's degree from an accredited college or university and
two years of experience in administrative staff or professional work for the
required experience.
3. Candidates may substitute the
possession of a Master's degree from an accredited college or university for
the required experience.
4. Candidates may substitute U.S.
Armed Forces military service experience as a commissioned officer involving
staff work related to the administration of rules, regulations, policy,
procedures and processes, or overseeing or coordinating unit operations or
functioning as a staff assistant to a higher ranking commissioned officer on a
year-for-year basis for the required experience.
DESIRED OR PREFERRED QUALIFICATIONS
• 5 years of experience reviewing,
verifying, and interpreting WRITS, Court Orders, Sentence Commitments, Court
and/or Immigration Detainers, court releases, court transfer orders, and
intake/bail review summaries to determine and resolve issues involving the
calculation of prison sentences in accordance with applicable laws, and the
regulations and policies of the Department of Public Safety and Correctional
Services.
