Main Purpose of Job
POSITION DUTIES
Responsible for typing
confidential material for the Salisbury Barrack Command Staff, as well as
Troopers.
Prepares routine and
non-routine letters of appreciation, endorsements, detailed reports, Special
Orders, Form 17's, and routing slips.
Checks Commander's and
Assistant Commander's mailbox in their absence. Reviews incoming mail and
faxes. Notifies Commander or Assistant Commander of matters needing immediate
attention.
Open and appropriately disseminate all incoming departmental and U.S. Mail daily. Check barrack emails daily and answer all correspondence or direct to appropriate personnel.
Answer
phones and forward calls to appropriate personnel; and provide information to
callers in accordance with Departmental directives.
Responsible for the
daily processing of all invoices and bills submitted to the installation.
Prepares the Check
Accountability Log for checks received for copies of reports. Prepares and
completes the bank deposit and ensures a copy of the Check Accountability Log
and deposit slip are sent to Finance Division and filled in accordance to the
agency retention procedures.
Maintains, controls
and oversees the entire filing system in the barrack, which includes personnel
files, by ensuring those files are of sensitive nature are kept locked and
secured and to ensure data is placed in the correct designated file.
In the absence of the
Administrative Specialist, composes and prepares news releases containing
information on criminal activity/arrests and traffic incidents.
Others duties as
assigned by Supervisory or Command personnel.
MINIMUM QUALIFICATIONS
Education: Graduation from an accredited high school or possession of a high school equivalency certificate.
Experience: Four years performing secretarial work or clerical work involving typing duties.
Notes:
1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.
2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted at the rate of thirty credits for one year of experience for up to two years of the required experience.
3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration classifications or Administrative, Clerical, or Office Services specialty codes in the Administrative Support field of work on a year-for-year basis for the required experience.
DESIRED OR PREFERRED QUALIFICATIONS
Preferred Qualifications:
1. Two years of
experience providing secretarial support to an official,
administrator or an administrative staff.
2. Independently
prepares correspondence and statistical reports.
3. Experience working
at the Municipal, County, State or Federal levels of government.
SPECIAL REQUIREMENTS
In accordance with Section 2-204(b)(6) of the Public
Safety Article, Candidates for position in this classification will be subject
to an initial drug screening and a complete criminal background investigation before
permanent appointment can be made. A criminal conviction may be grounds for
rejection of the candidate.
SELECTION PROCESS
Only candidates who meet the minimum qualifications will
be considered for this classification. Therefore, it is essential that you
provide complete and accurate information on your application. Successful
candidates will be placed on the Eligible List categorized as BEST QUALIFIED,
BETTER QUALIFIED or QUALIFIED and remain eligible for consideration for at
least one year from the date of examination. The list will be used by the
hiring manager to select employees. The list will be valid for one year.
EXAMINATION PROCESS
The examination will consist of a rating of your
education, training and experience related to the requirements of the position.
You may be required to complete a qualifications supplement, or the rating may
be based on your application. Report all experience and education that is
related to this position. Applicants may be given a physical examination and
will be subject to an interview, background investigation, polygraph
examination and substance abuse testing.
