POSITION DUTIES

This position is the Associate Director of the Inmate Grievance Office (IGO) serving as the statutory designee authorized to conduct preliminary review of new grievances and acting on behalf of the Deputy Director in his/her absence in all matters regarding the administration, management, and operation of the agency. This position also coordinates and monitors the daily functions of the agency office and line personnel. In the absence of the Deputy Director, this position will respond directly to the Secretary and Deputy Secretary of the Department of Public Safety and Correctional Services. 

  • Monitors workflow of the clerical staff, assesses work priorities and re-distributes work as deemed necessary. Carries out data entry of various casefile data when staffing shortages warrant. Revises clerical procedures as needed or required.
  • Formulates statistical report. Analyzes data and produces a monthly statistical report of IGO cases which is utilized by the Executive Director when preparing the agency's monthly activity report for the Secretary of DPSCS.
  • As the agency's coordinator with the Department's Information Technology and Communications Division (ITCD) regarding the IGO Case Tracking System, monitors/supervises the use of the system by IGO staff. This position is the first contact when the IGO staff have a problem with the Case Tracking System.
  • As Property Officer, reconciles yearly inventory of all office equipment and computers and computer software as requested by DPSCS and ITCD.

MINIMUM QUALIFICATIONS

Education:   Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Three years of administrative staff or professional work.

Notes:

1. Candidates may substitute 30 college credit hours from an accredited college or university for each year up to two years of the required experience. 

2. Candidates may substitute the possession of a Bachelor's degree from a college or university for the required experience.

3. Candidates may substitute U.S. Armed Forces military service experience as a commissioned officer involving staff work that included the regular use of independent judgment and analysis in applying and interpreting complex administrative plans, policies, rules or regulations or analysis of operational programs or procedures with recommendations for improvement on a year-for-year basis for the required experience.  

DESIRED OR PREFERRED QUALIFICATIONS

  • Experience conducting preliminary reviews of grievances or administrative complaints.
  • Experience coordinating and monitoring daily office functions to ensure efficiency and compliance.

LICENSES, REGISTRATIONS AND CERTIFICATIONS

Employees in this classification may be assigned duties which require the operation of a motor vehicle. Employees assigned such duties will be required to possess a motor vehicle operator’s license valid in the State of Maryland.

· Personal Leave - new State employees are awarded six (6) personnel days annually (prorated based on start date)
