Main Purpose of Job

The main purpose of this position is to manage the front office functions within the Division of Behavioral Health. This position will provide administrative and program support to the Division Director, other managers/supervisors, and direct service staff. This position will support agency operations through the development and implementation of clerical, secretarial, and administrative processes to ensure access to services for consumers, create efficiency for program staff, and generally assist with achieving division goals. The front office of the Division of Behavioral Health is an important part of the division's service delivery to individuals experiencing behavioral health challenges, many of whom may be in varying degrees of crisis. The front office is often the first point of contact with the public, whether in person or by telephone, and can set the tone for the individual's experience. All visitors must be warmly welcomed, treated with respect, and efficiently connected with the appropriate staff and/or program to respond to their request for assistance. This position will be responsible for providing and coordinating clerical, secretarial, and administrative support to the division director and program staff. This position will oversee front office operations, including reception, scheduling, and general introduction (orientation) of patients requesting services from the division. This position will also assist with data collection and entry, purchasing supplies and services, and requests for patient information. This position will provide direct supervision for at least one office clerk. As a supervisor, this position is responsible for managing the office clerk's schedule, assigning and monitoring duties, reviewing leave requests, completing performance evaluations, and other duties.

MINIMUM QUALIFICATIONS

Education:   Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience:  Four years of experience performing clerical duties.

Notes:

1. Additional experience performing clerical duties may be substituted on a year-for-year basis for the required education.

2. Applicants may substitute education from an accredited college or university at the rate of thirty semester credit hours for one year of experience on a year-for-year basis for the required experience.

3. Six months clerical training with three courses in subjects such as keyboarding, clerical math, word processing, spreadsheets, database, graphics presentation, proofreading, or office etiquette may be substituted for six months of the required experience.

4. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration classifications or Administrative, Clerical or Office Services specialty codes in the Administrative Support field of work on a year-for year basis for the required experience. 

DESIRED OR PREFERRED QUALIFICATIONS

The desired candidate should possess:
  • Strong organizational and time management skills.
  • Competent with word processing, spreadsheets, and other administrative software (i.e. MS Office & Google Suite).
  • Strong communication skills (written and verbal).
  • Supervisory experience.
