Main Purpose of Job

The main purposes of this position are: (1) to register applications to determine applicable categories of assistance by reviewing, verifying and interpreting information in case records, applications and other documents, utilizing knowledge of agency policies and procedures: (2) to complete mail duties; (3) to perform administrative support tasks through the utilization of program guidelines and automated systems; while continuously enhancing and ensuring quality customer service for the Family Investment Division of Harford County Department of Social Services; (4) to work the front desk to greet customers, accept paperwork, log all visitors, and assign interviews. 

POSITION DUTIES

  • Researches on all automated systems to determine decisions made on a case, to interpret decisions and relay to customer or general public. 
  • Assembles and verifies data and compiles information in order to prepare routine statistical reports Greets and logs in all customers and visitors on the Visitor Log (Google Sheet) to assess reason for visit. 
  • Notifies individuals for visitor meetings. 
  • Pick-up mail from the upstairs mailbox area, run through the postage machine , and place in postal container at the guard desk for pick up. 
  • Answering Family Investment Administration phones for agency.

MINIMUM QUALIFICATIONS

Applicants must meet all minimum (and selective) qualifications to be considered, and to appear on the list of people eligible for hire. Please read all requirements before applying.

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: One year of experience performing clerical duties.

Notes:

1. Candidates may substitute 30 credit hours of education at an accredited college or university for one year of the required experience.

2. Six months clerical training with three courses in subjects such as keyboarding, clerical math, word processing, spreadsheets, database, graphics presentation, proofreading, or office etiquette may be substituted for six months of the required experience.

3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administrative classifications or in Administrative, Clerical, or Office Services specialty codes in the Clerical Support field of work on a year-for-year basis for the required experience.

DESIRED OR PREFERRED QUALIFICATIONS

Preference will be given to applicants who possess the following preferred qualification(s). Include clear and specific information on your application regarding your qualifications.

  • Six months of experience with Google Suite products.
  • Six months of experience with Microsoft Word.
  • Six months of experience in a fast-paced, evolving office environment.

EXAMINATION PROCESS

The examination will consist of a rating of your education, training, and experience as presented on your application and as they relate to the requirements of the position. You may be asked to complete a supplemental questionnaire.  The supplemental questionnaire may be used as part of the rating process.  Therefore, it is important that you provide complete and accurate information on your application.

For education obtained outside the U.S., a copy of the equivalent American education as determined by a foreign credential evaluation service is required prior to hire.

Personal Leave- new State employees are awarded six (6) personnel days annually (prorated based on start date). 
Annual Leave – ten (10) days of accumulated annual leave per year.
Sick Leave – fifteen (15) days of accumulated sick leave per year.
Parental Leave – up to sixty (60) days of paid parental leave upon the birth or adoption of a child.
Holidays – State employees also celebrate at least twelve (12) holiday per year.
Pension – State employees earn credits towards a retirement pension.
Positions may be eligible for telework.
