We are seeking passionate individuals for the role of Executive Assistant to the Deputy Secretary of Support Services (Executive Associate III), so come join our team and make a meaningful impact on youth and the community at DJS!

As the Executive Assistant to the Deputy Secretary of Support Services, you will serve as a trusted advisor and senior administrative partner to the Deputy Secretary, supporting the Department’s mission and ensuring the smooth, efficient functioning of the Support Services Division. This position plays a pivotal role in coordinating high-priority initiatives, overseeing administrative operations, and supporting the development and implementation of programs and policies that enhance organizational excellence. Working at the intersection of operations, administration, and executive leadership, you will manage sensitive projects, coordinate across multiple units, and ensure the timely flow of information and decisions that drive progress. This is a dynamic, visible role for a detail-oriented professional who thrives on collaboration, problem-solving, and ensuring initiatives run seamlessly from concept to completion.

Key responsibilities of this position may include, but are not limited to, the following:
  • Driving Operations: Coordinating the Support Services Division’s daily activities, streamlining workflows, and supporting the implementation of programs, policies, and procedures.
  • Managing Projects: Overseeing sensitive, high-priority initiatives, tracking progress, and ensuring timely, accurate completion.
  • Supporting Decision-Making: Conducting research, analyzing data, preparing reports, briefings and recommendations to aid the Deputy Secretary in making an informed decision.
  • Representing Leadership: Preparing communications, presentations, and talking points, and serving as a liaison with internal and external stakeholders.
  • Optimizing Resources: Assisting with staffing, scheduling, budget oversight, and resource coordination to maintain efficient operations and continuity.
  • Cultivating Teams: Mentoring and supporting Administrative Office Professionals and Management Associates, fostering professional growth and high performance.
  • Advancing Goals: Supporting initiatives that strengthen juvenile justice outcomes, enhance public trust, and advance the Department’s mission.

This position is eligible to work a hybrid telework schedule.

This position may require some travel.

MINIMUM QUALIFICATIONS

EDUCATION: Graduation from high school or possession of a G.E.D. equivalent certificate acceptable to the Maryland State Board of Education as described in the Correctional Training Commission Regulation.

EXPERIENCE: Five (5) or more years of experience providing executive administrative support to senior Executive leadership and/or C-Suite leaders.

DESIRED OR PREFERRED QUALIFICATIONS

The preferred candidate for this position may possess any of the following qualifications:
  • Three (3) or more years of experience using Power BI, Google applications and/or Microsoft Office Suite (Word, Excel, PowerPoint).
  • Three (3) or more years of experience supporting executive operations, including booking/managing travel, maintaining multiple calendars, handling communications, organizing meetings, preparing reports, and overseeing projects.
  • Experience managing confidential information.
  • Excellent written and verbal communication skills.
  • Strong attention to detail & time management skills.
  • Ability to collaborate with multiple leaders internally and externally.
  • Passionate about empowering young people through transformative initiatives like process optimization, procedure redesign, and innovative problem-solving.
