Main Purpose of Job
POSITION DUTIES
Organizes and
structures daily schedule of appointments, and screens all visitors for the
Superintendent for the various demands o his time for meetings and public
functions. This involves activities involving Maryland State Police matters as
well as the various Boards on which the Superintendent serves. Coordinates the
Superintendent's appearances as the Governor's surrogate at public events.
Conveys and acts as an
intermediary for the Superintendent and consults directly with the Office of
the Governor, Legislators, Cabinet Secretaries, Bureau Chiefs, and various
other personnel within the State government, high level officials of other law
enforcement agencies, private executives, and professional persons, and the
general public on the various policies and procedures of the Maryland State
Police. Independently responds to the Governor's staff concerning policies, and
legislative matters. This requires considerable tact, diplomacy, discretion,
good judgement, and experience in making decisions of an administrative nature
instantly.
Manages the office and
the secretarial operations within the Superintendent's Office. Reviews
correspondence to the Governor, Lieutenant Governor, or other
Department Secretaries for final signature of the Superintendent. Advise and
assist other clerical and sworn personnel within other Bureau Chief's Offices,
on proper handling and preparation of correspondence, both written and oral,
for the Superintendent's and Governor's signature. This includes correspondence
to elected officials, such as Mayors, Senators, delegates, and other officials.
Serves and acts as the Maryland
State Police representative on the Governor's Constituent Team and is the
contact person for the Department. Makes frequent contact with the Governor's
Office to ensure constituent's concerns are handled in a prompt and efficient
manner. Acts as the initial contact person for the Governor's Office and all
State Departments to assist in resolving and type of concern or need that the
Department can provide. Handles the Governor's correspondence log for all
correspondence assigned to the Maryland State Police for appropriate responses.
Organizes and coordinates all
scheduling events with the Governor's Office and Lieutenant Governor's Office
involving participation of the Superintendent. Contact is made to ensure
appropriate information is available to all participants, including
presentation materials, resource and supportive documentation.
Other duties assigned by the
Superintendent of the Maryland State Police or his designee.
MINIMUM QUALIFICATIONS
Education: Graduation
from an accredited high school or possession of a high school equivalency
certificate.
Experience: Eight
years performing administrative or secretarial work involving typing
duties.
Note: Thirty credit
hours from and accredited college or university may be substituted at the rate
of thirty credits for one year of experience for up to four years of the
required experience.
DESIRED OR PREFERRED QUALIFICATIONS
Preferred
Qualifications:
1. Experience in
Windows based operating systems; preferably Windows 10.
2. Experience with
Microsoft products (Word, Excel, PowerPoint).
3. Experience with
Google products (Docs, Sheets, Slides).
4. Experience taking
meeting "minutes".
5. Experience
completing and sending correspondence for and Executive/Commander.

SELECTION PROCESS
The selection process for this recruitment
will involve a rating of the training and experience provided on the
application. Applicants who meet the minimum qualifications will be placed on
an eligible list in the BEST QUALIFIED, BETTER QUALIFIED, and QUALIFIED
categories. The list will be used by the hiring manager to select the
individual to fill this vacancy. The list will be valid for one year.
EXAMINATION PROCESS
The examination will consist of
a rating of your education, training and experience related to the requirements
of the position. You may be required to complete a qualifications supplement,
or the rating may be based on your application. Report all experience and
education that is related to this position. Applicants may be given a physical
examination and will be subject to an interview, background investigation,
polygraph examination and substance abuse testing.
