Main Purpose of Job

The Maryland Department of Aging provides gently used durable medical equipment (DME) to Marylanders with any illness, injury, or disability, regardless of age. This service will improve the quality of life for many Maryland residents and provides them the opportunity to avoid costlier levels of care. The DME Program is key to supporting the Department of Aging’s vision of leading healthy, financially secure, socially connected, and purposeful lives. This position is the foundation of the department’s efforts toward that goal as it is the one of the first points of contact with the community for this program. The Program Services Coordinator is responsible for coordinating DME distribution by reviewing incoming applications, coordinating satellite site and main site scheduling, preparing equipment for distribution across various sites, assisting clients and other visitors as they navigate the program in-person and over the phone, ensuring completion and filing of client documents, and assisting with equipment donation and distribution. This position will perform phone and email management. The Program Services Coordinator will assist the Program Manager with oversight of the DME main site, satellite locations, and program operations.

POSITION DUTIES

This position is responsible for:

• Reviewing all incoming request forms to ensure completeness and confirm eligibility. 
• Coordinating satellite site and main site scheduling
• Management of distribution software systems. 
• Phone and email management and comprehensive administrative support for the team as needed
• Maintaining and inputting client records
• Determination and selection of the appropriate equipment for clients with assistance from the Program Manager and Mobility Equipment Specialist. 
• Performing final equipment checks, preparing equipment for distribution, completing site rosters, and coordinating each visit to satellite sites. 
• Troubleshooting complex DME cases and providing DME distribution assistance by performing fitting, demonstration, and training of participants receiving DME.
• Providing technical, administrative, and program assistance to the public and stakeholders. 
• Screening and responding to constituent communications. 
• Providing exemplary customer service to equipment donors and clients receiving equipment.
• Assisting the Program Manager with planning and implementing program promotion and marketing through events and an online presence. Assisting the Program Manager with program process improvement and expansion.
 

MINIMUM QUALIFICATIONS

Education:   Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: One year of administrative staff or professional work.

Notes:

1. Candidates may substitute 30 college credit hours from an accredited college or university for the required experience.

2. Candidates may substitute U.S. Armed Forces military service experience as a commissioned officer involving staff work that included regular use of independent judgment and analysis in applying and interpreting complex administrative plans, policies, rules or regulations or analysis of operational programs or procedures with recommendations for improvement on a year-for-year basis for the required experience.

DESIRED OR PREFERRED QUALIFICATIONS

- Experience working with durable medical equipment, mobility equipment, or assistive devices

- One year of experience working in healthcare administration or in a office coordinator role in a healthcare setting

LICENSES, REGISTRATIONS AND CERTIFICATIONS

Employees in this classification may be assigned duties which require the operation of a motor vehicle. Employees assigned such duties will be required to possess a motor vehicle operator’s license valid in the State of Maryland.

BENEFITS

Contractual employees who work for an agency covered under the State Employee and Retiree Health and Welfare Benefits Program, have a current employment contract and work 30 or more hours a week (or on average 130 hours per month) may be eligible for subsidized health benefits coverage for themselves and their dependents. As a contractual employee, you will be responsible for paying 25% of the premiums for your medical and prescription coverage, including any eligible dependents you have enrolled. The State of Maryland will subsidize the remaining 75% of the cost for these benefits. You can also elect to enroll in dental coverage, accidental death and dismemberment insurance, and life insurance, but will be responsible to pay the full premium for these benefits.

Leave may be granted to a contractual employee at a rate of one hour for every 30 hours worked, not to exceed 40 hours per calendar year.
