Main Purpose of Job

This position is responsible for providing direct administrative support to the Director of Law Enforcement Training, the Police Training Unit, the Physical Training Center Unit and the Police Entrance - Level Training Unit of the Maryland Police and Correctional Training Commissions. This includes scheduling, organizing, managing and preparing materials for executive level presentations, providing clerical and program support to three training units, data entry, tracking training objectives, creating and grading tests and researching answers to technical questions. This position will also provide back­ up support for other training and support units. The person in this position must be customer service oriented, with an ability to work well in a team, be cooperative and collaborative.

POSITION DUTIES

  • Provide support to the Law Enforcement Training Director in the management of daily operations, as well as assigned programmatic and/or administrative special projects. 
  • Maintains important and confidential records, schedules and supplies. 
  • Provide administrative support to the Law Enforcement instructors and staff of the Police Training Unit (In-service training) staff to include development of certificates, composing correspondence and other class preparation. 
  • Provide administrative support to the Police Entrance - Level Training Unit staff to create tests, complete final administrative audits, monitors payment of tuition fees, grade tests, create re-tests, organize and scan student folders and other class preparation. 
  • Proofreads and formats outgoing correspondence for completeness and accuracy for Director and Unit Managers. 
  • Drafts routine and complex correspondence for Director's signature. Prepares surveys and maintains statistical reports and records. 
  • Receives phone calls and visitors to include scheduling appointments. 
  • Provides information to callers in regards to rules, regulations, operational information and refers calls to the appropriate staff member. 
  • Establish and provide direct oversight of office and training supplies and procurement activities. 
  • Develops, revises and implements office procedures.
  • Performs other duties as necessary.

MINIMUM QUALIFICATIONS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Four years performing secretarial work or clerical work involving typing duties.

Notes:

1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.

2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted at the rate of thirty credits for one year of experience for up to two years of the required experience.

3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration classifications or Administrative, Clerical, or Office Services specialty codes in the Administrative Support field of work on a year-for-year basis for the required experience.

DESIRED OR PREFERRED QUALIFICATIONS

Preference will be given to applicants who possess the following preferred qualification(s). Include clear and specific information on your application regarding your qualifications.

  • Experience doing data entry and sorting data or manipulating spreadsheets or setting up mail-merge or preparing reports or generating correspondence. 
  • Experience with professional work in a law enforcement agency.  
  • Experience with COMAR interpretation.
