Main Purpose of Job

OAG is seeking candidates for the position of Facilities and Support Services Manger to oversee all aspects of our agency’s building facilities and ensure efficient operations. The incumbent will effectively coordinate with various stakeholders including building management, vendors, and internal teams. This role is responsible for overseeing facility maintenance, office space logistics, risk management, and records administration. The Facilities and Support Services Manager will maintain a safe and functional workplace, often ensuring that staff receive excellent and timely support services.

POSITION DUTIES

The Facilities and Support Services Manager’s day-to-day broad range of key duties and responsibilities include:
 
• Serving as the primary point of contact with building management. 
• Serving as the primary point of contact with OAG staff regarding facilities and maintenance requests. 
• Ensuring maintenance, safety, and management practices that promote a clean and safe working environment for OAG employees. This includes monitoring the safety and cleanliness of interior and exterior areas, such as offices, conference rooms, parking lots and outdoor spaces. 
• Coordinating with building management to address any maintenance issues promptly, especially emergency repairs. 
• Preparing facilities for changing weather conditions. 
• Working with building management to ensure regular inspections and maintenance of building systems, including HVAC, plumbing, and electrical. 
• Managing relationships with vendors for facility services such as cleaning and waste disposal. 
• Conducting periodic evaluations of facility operations and implementing improvements as needed to ensure effective space management. 
• Coordinating office space planning, reconfigurations, and furniture moves to accommodate changing needs, which includes coordinating renovations and updates. the incumbent is responsible for arranging for or assisting with the movement of furniture and other non-IT equipment. 
• Ensuring optimal utilization of office space and assisting in space optimization initiatives. 
• Managing inventory of furniture and equipment, including procurement and disposal as necessary. 
• Developing and maintaining emergency response plans, including fire evacuation procedures and safety protocols. 
• Conducting, in partnership with building management, regular fire alarm tests and drills and ensuring compliance with safety regulations. 
• Identifying potential risks to the building and implementing preventive measures to mitigate them. 
• Acting as the point of contact for the Department of General Services (DGS) on retention policy issues and disposal of state property. 
• Assisting divisions with records destruction, scanning, and storage (both on and off- site).  
• Maintaining accurate records of facility-related documentation, including contracts, permits, and inspection reports. 
• Ensuring proper security measures for the workplace, including collaborating with a team of building security professionals. 
• Ensuring compliance with records management policies and procedures.
• Collaborating with management on budgeting for facility needs.
• Performing other related duties as assigned to meet organizational needs and objectives. 

The role will also include strategic planning duties, including:  

• Developing and executing a Strategic Facilities Plan to ensure the most efficient use of physical space, through records destruction/storage, surplus/destruction of furniture and other assets, renovations and other methods. 
• Implementing a new office space system, including managing office assignments in space management software(s). 
• Forecasting and planning for future space needs. 
• Developing and tracking equipment inventories and fleet management. This includes being designated as the inventory manager; overseeing office equipment and supply inventory ordering, and distribution; and ensuring a safe and reliable vehicle fleet. 
• Developing innovative and practical strategies to minimize physical records storage.  
• Creating reports on maintenance, repairs, safety and other occurrences for supervisors and other relevant staff. 
• Enforcing current and new hybrid-telework spacing and in-office requirements.

MINIMUM QUALIFICATIONS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: A minimum of 5 years performing facilities management work is required. 

Notes:

1. Additional experience may be substituted on a year-for-year basis for the required or preferred education.
2.     Candidates may substitute U.S. Armed Forces military service experience as a non- commissioned officer in Administration classifications or Administrative, Clerical, or Office Services specialty codes in the Administrative Support field of work on a year for year basis for the required experience.  

DESIRED OR PREFERRED QUALIFICATIONS

The ideal candidate will possess:

1. A Bachelor’s degree in relevant field.
2. A facilities management certification: such as Certified Facility Manager (CFM), Facility Management Professional (FMP), or other continuing education certifications.
