POSITION DUTIES

This recruitment is for a vacancy within the Hearings and Appeals Division located in Baltimore. The main purpose of this position is to serve as an Office Secretary to the Manager and the Hearings and Appeals Division. They will provide administrative and secretarial support to the Manager, Assistant Managers and the Hearing Officers of the Hearings and Appeals Division. This includes performing a variety of functions including: typing letters and reports, answering phones, providing weekly and monthly statistical reports, posting and filing legal correspondence, scanning and submitting adjustments to the adjustment team and closing/filing appeal files.

Further, they are responsible for monitoring our case tracking software - currently Hearings and Appeals Roster (soon to be ServiceNow). This work entails: Recording and tracking adjustments. Conducting preliminary research for new appeals and entering notes into the database and SMART. Scheduling and recording hearing dates, meetings with managers and auditors on related hearing issues. Performing a review of the week's scheduled hearings to ensure that all cases have been noted by the hearing officer as required. Closing and processing all cases that have been heard and reviewed by the Hearing Officers. Monitoring and forwarding Maryland Tax Court appeals. Maintaining Paid Out and Hearing Not Required files. Finally, they will report meter readings on a monthly basis. Schedule routine maintenance for office equipment as needed. Order, replenish and maintain supplies for the Hearings and Appeals Division.

Please Note:  Demonstrated ability to accurately type on a keyboard of a personal computer at a minimum of forty words per minute may be required, depending on the specific requirements of the position.

MINIMUM QUALIFICATIONS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Five years performing secretarial work or clerical work involving typing duties.

NOTES:

1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.
2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted  at the rate of thirty credits for one year of experience for up to two years of the required experience.
3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration or Personnel Specialist classifications or Administrative, Clerical, or Office Services specialty codes in the Special Assistant or Secretarial fields of work on a year-for-year basis for the required experience.

DESIRED OR PREFERRED QUALIFICATIONS

  • At least 10 years' experience of secretarial work.   
  • At least 2 years' experience dealing with the SMART database.  
  • Ability to multitask.
