Main Purpose of Job

The main purpose of the Administrative Aide position is to provide comprehensive secretarial and administrative support for the Board of Social Work Examiners and Compliance Unit. This position will assist in expediting the flow of administrative details required to efficiently carry out the mandated functions of the Board as well as general Board operations. This position will provide administrative and clerical support to the Executive Director, Directors, as well as other members of the Board of Social Work Examiners. The administrative assistant will initiate. maintain, and update spreadsheets for various reports, compliance reports and cases. This position will routinely set up for the monthly board meetings, order supplies for the meetings, prepare complainant closure letters for disciplinary cases, and prepare, update and maintain investigative tracking spreadsheets/database and calendars of board meetings and legal proceedings.

MINIMUM QUALIFICATIONS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Four years performing secretarial work or clerical work involving typing duties. 

Notes: 

1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education. 

2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted at the rate of thirty credits for one year of experience for up to two years of the required experience. 

3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration classifications or Administrative, Clerical, or Office Services specialty codes in the Administrative Support field of work on a year-for-year basis for the required experience.

DESIRED OR PREFERRED QUALIFICATIONS

The desired candidate should possess:
  • Experience with a multi-line phone system
  • Experience solving issues via telephone
  • Experience with logs and report submission
  • Experience collecting and logging complaints into a database
  • Experience maintaining workflow (scheduling hearings, case resolutions for licensees, prosecutors, and Board members)

SPECIAL REQUIREMENTS

Demonstrated ability to accurately type on a keyboard on a personal computer at a minimum of forty words per minute may be required, depending on the specific requirements of the position.
