Main Purpose of Job

To provide administrative fiscal support to the Office of Facilities Management (OFM). This position compiles, tracks, and analyzes financial data for 4 divisions and 52 State buildings.

POSITION DUTIES

Duties for this position include, but not limited to:

· Tracks, inputs, organizes, and maintains OFM’s Office of Administration requisitions. 
· Reviews all submitted requisitions to ensure funding to cover spending. 
· Ensuring all requisitions have 2 or more quotes attached, and are using preferred vendors as much as possible
· Creates and processes purchase orders in eMMA corresponding to requisitions submitted from OFM divisions for building maintenance services, supplies, etc; create and submit fund certifications to the Office of Fiscal Services for approval.
· Reviews and approves invoices submitted via accounts payable; confirm with maintenance staff that work has been completed and create corresponding purchase orders if necessary.
· Reviews, reconciles, and tracks invoices submitted via eMMA against the purchase orders created in the system.
·Develops, updates, and implements automated spreadsheets, ledgers, and reports.
· Assists in monthly budget preparation for 52 buildings by compiling necessary data and calculating current funding requests based on divisional needs.
·Tracks overtime and credit card purchases.

MINIMUM QUALIFICATIONS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Two years of experience performing administrative staff, clerical, clerical technical, or secretarial work. 

Notes:

1. Candidates may substitute 30 college credit hours from an accredited college or university for each year of the required experience.

2. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer involving staff work requiring regular use of independent judgment and analysis in applying and interpreting rules and regulations in accordance with agency laws and policies on a year-for-year basis for the required experience.

DESIRED OR PREFERRED QUALIFICATIONS

Strong preference will be given to applicants who possess the following preferred qualification(s). Include clear and specific information on your application regarding all qualifications.

·Experience with Microsoft Office, specifically using Word and Excel.

·Experience with Google Suite. 

LICENSES, REGISTRATIONS AND CERTIFICATIONS

Employees in this classification may be assigned duties which require the operation of a motor vehicle. Employees assigned such duties will be required to possess a motor vehicle operator’s license valid in the State of Maryland.

The examination for this position will consist of a rating of your education, training and experience related to the requirements of the position.  Successful candidates will be placed on the employment eligibility list categorized as BEST QUALIFIED, BETTER QUALIFIED, or QUALIFIED.  The eligibility list will be valid for one year and may be extended.  The list will be used by the hiring authority to select employees for interviews.  Eligible lists may be used to fill future vacancies of the same classification.

Please note, selected candidates may be required to complete and successfully pass a State and Federal fingerprint background check prior to being hired.
