Main Purpose of Job

This position provides executive support to the Maryland Police and Correctional Training Commissions, the Maryland Police Training & Standards Commission, and the Maryland. Correctional Training Commission, serving as the executive level assistant, custodian of records and designated recording secretary.

POSITION DUTIES

Interpret and apply administrative decisions and policies for staff and transmit information under the authority of the Executive Offices.

Compose correspondence and reports with accuracy and professional formatting.

Manage all phone, email and in person inquiries for the Executive Offices.  Screen visitors to control interruptions, determine action needed and/or provide assistance to other training and operational units as needed.

Compile quarterly reports for the Maryland Police Training & Stands Commission(PTSC) and Maryland Correctional Training Commission (CTC) updates to the Executive Director.

Process sensitive and confidential matters related to regulatory or personnel decisions.

Manage all files and records for the Executive Offices of Maryland Police and Correctional Training Commissions(PCTC), Maryland Police Training & Standards Commission(PTSC) and Maryland Correctional Training Commission (CTC), in accordance with state records management regulations.  Manage the processing of Public Information Act requests assigned to the Agency.

Prepare detailed information for the Executive Offices based on data from research, recommendations for action on administrative matters and assist with special projects.

Plan and monitor quarterly Maryland Police Training and Standards Commission (PTSC) and Maryland Correctional Training Commissions (CTC)  meetings according to the Open Meetings Act, serving as the recording secretary.  Interact and communicate with State officials, elected officials cabinet secretaries, agency personnel and the public on behalf of the Commissions.

Manage executive calendars, determining level of priorities based on direction of the Executive Offices and respond on behalf of invitees regarding speaking engagements, commitments for graduation ceremonies and other special events.  Prepare travel arrangements, expense reports and maintains administrative records for travel expenses and related activities.

Performs other duties as assigned.

MINIMUM QUALIFICATIONS

Education:  Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience:  Five (5) years of administrative staff or professional work.

SELECTIVE QUALIFICATIONS

1)      Advanced Microsoft Word and Excel experience to include:

· Create spreadsheets with formulas, sort and filter data

· Perform data entry for preparation of reports

· Create and format professional correspondence

· Create mail merges, sort and filter

 

2)      Professional experience communicating and interacting with high level executives and state officials.

 

DESIRED OR PREFERRED QUALIFICATIONS

Knowledge and confidence to learn and utilize specialized software programs.

Knowledge of COMAR with respect to the Police Training & Standards Commission or the Correctional Training Commission.

Familiar with the requirements of the Public Information Act.

SPECIAL REQUIREMENTS

Employees in this classification may be assigned duties which require the operation of a motor vehicle. Employees assigned such duties will be required to possess a motor vehicle operator’s license, valid in the State of Maryland.
