This is a Hybrid position that will require the candidate to be in the office up to 2 days a week.

Main Purpose of Job

A State Retirement Agency (SRA) IT Business Manager I is the intermediate level of work in support of the administrative and business operations of the SRA IT division. Employees in this classification do not supervise and receive moderate supervision from an SRA Chief or SRA Deputy Chief Technology Officer or another IT Administrator.

POSITION DUTIES

·   Procurements – Coordinates with IS Unit directors and staff to initiate procurements of equipment, software, support contracts and other purchases, tracking through the receipt of the products/services to the completion of payment. This involves communication with vendors and with internal Agency staff.

·  IT Business Operations – Keep us organized… Facilitate the organization and storage of IT communications, documents and contracts throughout the lifecycle (a sensible and consistently used electronic filing system for the department), advise IT staff in the consistent adherence, adapt the system as needed based on feedback; Maintain advanced skills in modern business productivity software and leverage functionality to enhance processes, provide ad-hoc application/ procedural support to staff as needed; Organize, document, devise/develop, maintain, and improve IT business operations policies and procedures; Organize and schedule meetings related to IT operations.

·  Budgets – Coordinate the annual budget process within IS; Maintain an awareness of key steps and deadlines, assure unit heads are informed and report on progress; Monitor and report on budgeted vs. actual expenditures and assure expenditures are categorized correctly; May assist as necessary with expense justifications for requested budget items; Maintain sufficient understanding of critical/key IS expenditures to prioritize reminders and reporting on their status, such that management is appraised of the potential of missing critical items.

·  Other– Assist with the Agency hardware inventory process; Manage the inventory of IT consumable and office supplies; May assist with research into IS or other Agency units’ initiatives sourcing software to accomplish business process improvements; May help prepare request for proposals (RFP’s) or contracts for IT hardware, software, or services; May evaluate  proposals from vendors as part of an evaluation panel; May also be required to collaborate with stakeholders and contributors on project activities.

MINIMUM QUALIFICATIONS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Two years of experience in an administrative capacity using personal computers.

Notes:

1. Candidates may substitute a Bachelor's degree from an accredited college or university in Information Technology, Computer Science, Management Information Systems, or other information technology related field for two years of the required experience.

2. Candidates may substitute an Associates degree from an accredited college or university in Information Technology, Computer Science, Management Information Systems, or other information technology related field for one year of the required experience.

SELECTIVE QUALIFICATIONS

Must have one (1) year of experience and proficiency and/or certification with Microsoft Office (Word, Excel, Outlook) and Microsoft Windows.

DESIRED OR PREFERRED QUALIFICATIONS

Preference will be given to applicants who have experience with:

· Coordinating purchases of equipment and services including approval processes

· Coordinating or participating in annual budgetary processes

· Organizing a consistent way, a team works using systems and methods to improve efficiency/ effectiveness.

· SharePoint 365 and/or Microsoft Teams

· Microsoft Access

· Adobe Acrobat Pro

· Proficiency with MS Word long document features (styles, tables of contents, tables, etc.) and Review/ Track Changes features or training certification.

· Proficiency with MS Excel intermediate/advanced features or training certification.
