Main Purpose of Job

The main purpose of this key position is to provide managerial and administrative services to the Garrett Children’s Center which is a secure facility. This position manages all office procedures, coordinating administrative activities, retrieves, organizes and disseminates information to staff. Additionally, this position operates directly as the personal and confidential associate to the Facility Administrator, who is the chief administrator for the Garrett Children’s Center. Therefore, this position must be able to exercise sound and independent judgment and discretion in areas of personnel, budget and crisis situations as well as be able to communicate clearly and concisely. Lastly, excellent public relations are all top requirements of this position.

POSITION DUTIES

  • Maintains facility personnel files which contain performance appraisals, confidential client grievances, employee reprimands and letters of accommodations.  Screens and finalizes all confidential Performance Evaluation Plans for accuracy and completeness, forwarding official signed copies to Personnel and when needed, returns incomplete or incorrect packets to supervisors for additions and corrections.  Maintains policy sign off sheets.  Reviews expense account forms.

  • Completes memorandums, reports, tables, letters and other documents for the Facility Administrator and resource staff while maintaining confidentiality of the office. Types from copy material of a technical and confidential manner.

  • Provides managerial and administrative services to the Garrett Children’s Center which is a secure facility.  Develops and implements working procedures (FOP’s) and forms to ensure maximum efficiency and utilization.  Establish procedures and processes to organize and expedite required information, forms, and reports.  Prepares statistical or other needed records and reports.  Creates special forms and summaries.  Copies and files materials and performs other general office duties as required.  Opens, sorts, reads and distributes in coming correspondence, including faxes and emails (Google).  Organizes and processes outgoing correspondence.  Attends and records meetings.

MINIMUM QUALIFICATIONS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Five years performing secretarial work or clerical work involving typing duties.

Notes:

1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.

2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted  at the rate of thirty credits for one year of experience for up to two years of the required experience.

3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration or Personnel Specialist classifications or Administrative, Clerical, or Office Services specialty codes in the Special Assistant or Secretarial fields of work on a year-for-year basis for the required experience.

DESIRED OR PREFERRED QUALIFICATIONS

Preference will be given to applicants who possess the following preferred qualification(s). Include clear and specific information on your application regarding your qualifications.

  • At least two years of experience working with Microsoft Office Suite (i.e., Word, Excel (tracking), Publisher, PowerPoint, Access Adobe: Illustrator, Photoshop, InDesign, Acrobat, Prezi Presentation).

  • At least one year of experience using the State's Financial Management Information System (FMIS) and working with a budget and/or procurement.

  • At least two years of experience working for a senior-level administrator or executive.

  • At least one year of experience developing, editing, and facilitating technical writing and style standards for documentation.

  • Strong written and oral communication skills.

  • Ability to prioritize and multi-task effectively.

  • Ability to demonstrate teamwork.

  • Flexibility in a busy environment.

  • Strong time management, priority setting, and problem-solving skills.

SPECIAL REQUIREMENTS

Demonstrated ability to accurately type on a keyboard of a personal computer at a minimum of forty words per minute may be required, depending on the specific requirements of the position.
