Main Purpose of Job

Provides administrative support to the Program Manager and Chief Inspectors in the administration of the Safety Inspection Program by managing the coordination of inspections and investigations pertaining to elevator units and related equipment operating at various sites throughout the state, ensuring that these devices are being operated, maintained, and repaired in accordance with the Annotated Code of Maryland, COMAR regulations, referenced codes, standards, and manufacturer's criteria throughout a comprehensive review and analysis of inspection reports submitted.

POSITION DUTIES

Provides administrative staff support to the Program Manager and Chief Inspectors by providing updated information to business owners and the public regarding elevator, boiler,  pressure vessel, and amusement ride safety, the laws and regulations and departmental procedures and policies. Respond to inquiries from the public, identifying, and resolving problems. Receives and processes all expense vouchers for the unit. Collects and records inspector fleet sheets and enters pertinent information in mileage database. Processes re-registration forms, invoices, citation warnings, and prepares them for mailing. Opens, reads, and distributes all incoming mail. Is the primary receiver of payments and initiates payment process by following their inter unit procedures to ensure compliance with all cash handling policies.

Provides support with updates and maintenance assuring the most current information for owners and contacts in JO database files. Provides back up support for clerical staff in their absence.

Provides administrative staff support to the Program manager and Chief Inspectors in the administration of the Safety Inspection Program by assisting in developing and implementing new and revised policy, procedures, and processes consistent with departmental goals.

Conducts research and investigations compiling data used in compliance cases. Reviewing case files independently, determining if citation is appropriate for issuing.

Performs other duties as assigned by management. 

MINIMUM QUALIFICATIONS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: One year of experience performing administrative staff, clerical, clerical technical, or secretarial work.

Notes:

1. Candidates may substitute 30 credit hours from an accredited college or university for the required experience.

2. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer involving staff work requiring regular use of independent judgment and analysis in applying and interpreting rules and regulations in accordance with agency laws and policies on a year-for-year basis for the required experience.

DESIRED OR PREFERRED QUALIFICATIONS

Preference will be given to applicants who possess the following preferred qualification(s). Include clear and specific information on your application regarding your qualifications.

Experience working with computers and software, such as Microsoft Office.

Experience entering data into a database system.

Experience providing customer service in-person and via telephone.

Experience handling confidential information.

SPECIAL REQUIREMENTS

All candidates are subject to a background check against files maintained by the Division of Unemployment Insurance (Labor/DUI) to determine whether any monies are owed to Labor/DUI as a result of unemployment insurance overpayment/fraud. Any unpaid debt may have an impact on whether or not a candidate is offered employment. 

Candidates may be responsible for providing their own transportation as needed to access meetings, remote locations, and job destinations as assigned.
