The Maryland Military Department is looking for a candidate for the position of Administrative Specialist II with our Energy Team! POSITION DUTIES

Serving under the Construction and Facilities Management Office (CFMO). The purpose of this position is data management, for the Energy Team. This person will be responsible for maintaining the current database, as well as the spreadsheets for the utilities' totals, sites' existing conditions, etc. Also, the incumbent will compile and prepare data for entry throughout the year for Federal and National Guard Bureau (NGB) reports with varying suspense dates throughout the year.

Position will maintain and upgrade the existing spreadsheet for the sites' Utilities invoices received from the Finance Office and Resource Management. They also must coordinate with the Accounting Office to retrieve paper invoices, scan them and file into an accessible network folder. The incumbent or other team member shall be able to search files for the relevant data and present/process the results accordingly. 

Position is to compile statistical data for reports, charts, and/or records by extracting information from documents, files, databases, etc. The incumbent will need to drive to other sites to record meter readings monthly, obtain installed equipment data, specifications, and/or document with pictures. It will be necessary to cross-reference sources to verify/update the accuracy of this data. Also, the incumbent is to become proficient with EnergyCap database, Portfolio Manager, MS Office, Adobe Acrobat, etc. 

Prepare visual presentations like graphs, tables, slides, etc. upon request for meetings, reports, and project updates.

Position Duties Include but are not limited to: 

Data Research: Compile data from various existing sources from reports, files, databases, etc. as well as site-based utility meters and installed equipment. See details above. 

Data Management: Maintain and update utility spreadsheets, various equipment spreadsheets, etc. as well as retrieving, processing, and evaluating utility supply information from invoices. See details above. 

Data Display: Prepare visual presentations for various reasons. See details above. 

Other: Performs other duties as requested by Energy Team members for the support of the team and the organization.

MINIMUM QUALIFICATIONS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: One year of experience performing administrative staff, clerical, clerical technical, or secretarial work.

Notes:

1. Candidates may substitute 30 credit hours from an accredited college or university for the required experience.

2. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer involving staff work requiring regular use of independent judgment and analysis in applying and interpreting rules and regulations in accordance with agency laws and policies on a year-for-year basis for the required experience.

DESIRED OR PREFERRED QUALIFICATIONS

Proficiency in Microsoft Excel
Proficiency in Microsoft PowerPoint 
Experience in Data Management 
Experience preparing visual presentations like graphs, tables, slides, etc.

LICENSES, REGISTRATIONS AND CERTIFICATIONS

Employees in this classification may be assigned duties which require the operation of a motor vehicle. Employees assigned such duties will be required to possess a motor vehicle operator’s license valid in the State of Maryland with less than 5 points to operate a state vehicle.

SPECIAL REQUIREMENTS

Candidates may be responsible for providing their own transportation as needed to access meetings, remote locations, and job destinations as assigned.
