POSITION DUTIES

To provide support to the Director of OBVS and manage all phone calls to the OBVS main line. Provide information and referral for calls coming into the OBVS. Assess the urgency of calls and forward as needed to appropriate personnel. Act as lead for support staff in the OBVS. Manage and maintain records for vendor applications, MOUs, and cooperative agreements. Prepare documents for review, including MOUs, agreements, PEP documents, and other personnel forms including recruitment. Answer inquiries regarding services, including the VR, ILOB, and BEP programs. Provide support for Program Manager II, and Staff specialists for Deaf/blind, and workforce services.

Establish and maintain office protocols for the Director of OBVS and immediate staff reporting to the Director including confidential information regarding staff and leave. Maintains and prepares PEP documents and Personnel records, ensures accurate and complete files regarding vendors MOUs, and other OBVS operational business. Responsible for coordination of quarterly training and other meetings and minutes: coordination and notification reminders for counselor calls; Provide support for the Program Manager II, and Staff Specialist for transition, worksite and deaf/blind. Manage and assess all vendor applications for approval by the Director of Business Support Services. Review and verify individual's and organization's credentials interested in becoming approved vendors to provide services to persons served by the DORS. Manage and maintain documentation for OBVS vendors. Acts as lead for OBVS support staff, providing interpretation and guidance regarding policies, procedures and administrative decisions.

MINIMUM QUALIFICATIONS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Five years performing secretarial work or clerical work involving typing duties.

Notes:

1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.

2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted  at the rate of thirty credits for one year of experience for up to two years of the required experience.

3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration or Personnel Specialist classifications or Administrative, Clerical, or Office Services specialty codes in the Special Assistant or Secretarial fields of work on a year-for-year basis for the required experience.

DESIRED OR PREFERRED QUALIFICATIONS

  • Experience in an administrative and/or office management role.
  • Experience using Microsoft Office Suite programs such as word, excel, and power point, as well as experience using Google programs.
  • Experience reviewing and interpreting regulations and/or state laws.
  • Experience working with confidential records and documents.

LIMITATIONS ON SELECTION

Recruitment is limited to current Division of Rehabilitation Services (DORS) employees.

SPECIAL REQUIREMENTS

Applicants must consent to State Police Investigation (fingerprinting) as a routine procedure for all employees with this Agency.
