POSITION DUTIES

Responsible for administrative work requiring the overseeing and implementation of the procurement process in all stages to ensure the completion of all purchasing transactions in accordance with the MD Military Department’s Procurement Policies and Procedures. Serves as the Administrative Aide to the Director which encompasses all secretarial duties; i.e., liaison with outside contacts – inter-agency, civilian, military and the preparation and dissemination of correspondence. Collects money, secures and prepares documentation as required to accompany donations collected for the Freestate ChalleNGe Academy that are submitted to the MD National Guard Youth ChalleNGe Foundation, Inc. a 501(3)C organization. Attends planning meetings for the organization as well as serving on committees for cadet events.

Administers and oversees the complete procurement process

Responsible for State credit card not exceeding expenditures of $15,000 per month

Prepares requisitions and purchase orders

Records and transcribes proceedings meetings

Maintains cleaning supplies for the facility

Performs weekly inventory of housekeeping supplies for the facility

Prepares correspondences for the Director

Operates, maintain, secure postage meter

MINIMUM QUALIFICATIONS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Four years performing secretarial work or clerical work involving typing duties.

Notes:

1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.

2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted at the rate of thirty credits for one year of experience for up to two years of the required experience.

3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration classifications or Administrative, Clerical, or Office Services specialty codes in the Administrative Support field of work on a year-for-year basis for the required experience.

DESIRED OR PREFERRED QUALIFICATIONS

6 months of experience in procurement

6 months of experience with ordering and stocking inventory

1 year of experience handling a corporate credit card

LIMITATIONS ON SELECTION

You must have your COVID vaccination for this position.

SPECIAL REQUIREMENTS

Demonstrated ability to accurately type on a keyboard on a personal computer at a minimum of forty words per minute may be required, depending on the specific requirements of the position.
