POSITION DUTIES

The Office of the Attorney General seeks applicants to serve as an Administrative Aide for its Health Club Registration Unit.

This position maintains the Unit’s records, assist with registration, and provide administrative support for the Unit’s enforcement activities.  Position responsibilities include accurately entering data and monitoring existing data for accuracy and completeness; running reports, including regularly exporting, sorting and subtotaling data for management reports; scanning, labeling and storing electronic records in designated locations; maintaining organized storage of paper records and complying with record retention requirements; processing new registration applications and registration renewals, including review of submitted documents for completeness, verify payments, and prepare and send registration notices; preparing memoranda for receipt or release of security, payment of refunds, and receipt of penalties; managing the Unit’s electronic calendar to schedule meetings and other events or activities; answering the telephone, and responding to telephone and email inquiries; reviewing, scanning, and distributing the mail; participating in Unit meetings and recording notes; utilizing a data base to send mass emails; preparing certified mailings and tracking service; conducting external database and internet research as directed; organizing documents in preparation for meetings, court filings, hearings, and other purposes; and generally performing secretarial duties for the Unit.

MINIMUM QUALIFICATIONS

The ideal candidate will have graduated from an accredited high school or have possession of a high school equivalency certificate, and three years of experience in administrative or professional work.  Up to two years of post-secondary education may be substituted for up to two years of experience.

DESIRED OR PREFERRED QUALIFICATIONS

Preference will be given to applicants who possess the following preferred qualification(s). Include clear and specific information on your application regarding your qualifications.

Applicants shall have knowledge of Word; database experience; telephone experience; and organizational skills. Candidates must be detail oriented and adept at multitasking, and have strong communication, technology, analytical, and organizational skills.
