LOCATION OF POSITION

Main Purpose of Job

To provide administrative and office support to the Director of Instructional Programs, technical assistance and support to specialists, and technical support and leadership to the support staff within the unit. This includes, but is not limited to, overseeing, monitoring, and coordinating the fiscal and human resources administrative systems of the unit and division.

POSITION DUTIES

  • Provide timely, accurate and substantive assistance to the Director of Instructional Program:
    • Serve as liaison and intermediary for the Director of Instructional Programs
    • Verify accuracy of documents (financial, timesheets, and correspondence) to be signed
    • Provide requisite information to the Director for meetings to be attended and meetings to be chaired
  • Assist in the management of fiscal and human resources for the Division of Curriculum, Instructional Improvement & Professional Learning:
    • Prepare DCIP contracts and complete required paperwork
    • Prepare paperwork for PIN employees
    • Coordinate interview schedules for DCIP
  • Provide timely, accurate, and effective guidance and direction to staff:
    • Serve as support to the Gifted and Talented and Equity specialists
    • Collaborate with staff to resolve problems
    • Interpret MSDE policies and procedures

MINIMUM QUALIFICATIONS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Five years performing secretarial work or clerical work involving typing duties. 

Notes: 1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.

2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted at the rate of thirty credits for one year of experience for up to two years of the required experience.

3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration or Personnel Specialist classifications or Administrative, Clerical, or Office Services specialty codes in the Special Assistant or Secretarial fields of work on a year-for-year basis for the required experience.

- Procurement Experience
- Contract Experience
- Human Resource Clerk/Assistant Experience

SPECIAL REQUIREMENTS

Demonstrated ability to accurately type on a keyboard of a personal computer at a minimum of forty words per minute may be required, depending on the specific requirements of the position.
