Main Purpose of Job

This position is responsible for the retrieval and placement of Parole Commission files for incarcerated offenders as well as those under supervision. Furthermore the incumbent is responsible for maintaining, filing, and discarding of retention files, lifer files, and stayed files.  The incumbent will also be required to retrieve reports from the DPSCS reporting system/OCMS, track all files retrieved and returned to the unit, and are responsible for apprising the Community Supervision agents of the Commission’s disposition after the reports has been reviewed and signed. In addition the incumbent is responsible for ensuring that all necessary documentation such as release orders, commitment memos, death certificates and all other related documentation is placed within the appropriate Parole Commission file.

POSITION DUTIES

- Retrieves and re-files parole files from the housing, supervision, litigation, warrant, and/or retention sections of the Records Unit for MPC staff as well as the Attorney General’s Office in a timely efficient manner.   
- Tracks all files retrieved and re-filed into the OCMS database.   
- Retrieves agent reports from the DPSCS reporting system/OCMS for review by Commissioners. 
- Ensures that Community Supervision agents have been notified of the Commission’s disposition. 
- Answers telephone calls from institutions and outside agencies. 
- Create new parole files when files are damaged or in need of repair. 
- Files sentence status change reports, correspondence, release certificates, signed decision sheets, and death certificates in the proper section of the Parole Commission file. 
- Provides relief to the receptionist to ensure that the switchboard has adequate coverage. 
- Assist with purging of files. 
- Assist other units when necessary.   
- Performs other duties as required.

MINIMUM QUALIFICATIONS

Education:   Completion of the eighth grade.

Experience: One year of experience typing correspondence, reports, charts or other documents from rough draft, corrected copy or oral instruction on a keyboard of a personal computer, computer terminal or word processor.

Notes:

1. Candidates may substitute additional experience typing or performing other clerical duties on a year-for-year basis for the required education.

2. Candidates may substitute graduation from an accredited high school or possession of a high school equivalency certificate for six months of the required experience.

3. Candidates may substitute five courses or six months of clerical training in subjects such as keyboarding, clerical math, word processing, spreadsheets, data base, graphics presentation, proofreading, or office etiquette for six months of the required experience.

4. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration classifications or Administrative, Clerical or Office Services specialty codes in the Administrative Support field of work on a year-for year basis for the required experience.

DESIRED OR PREFERRED QUALIFICATIONS

- Experience with Offenders Case Management System (OCMS)
- Telephone switchboard operation experience

SPECIAL REQUIREMENTS

Demonstrated ability to accurately type on a keyboard of a personal computer, computer terminal or word processor at a minimum of forty words per minute may be required, depending on the specific requirements of the position.
