Main Purpose of Job

The main purpose of this position is to support the general records functions including maintaining and updating of appropriate records. He/She will process documents for storage and retrieval while ensuring all processes are in compliance with the Department of Public Safety and Correctional Services Human Resources Services Division (DPSCS HRSD) Retention Schedule and in compliance with State and Federal laws and regulations.

POSITION DUTIES

File, update and maintain records.

Ensure new folders and files comply with Department of Public Safety and Correctional Services Human Resources Services Division (DPSCS HRSD) filing system.

Identify problem files and notify respective units of the necessary corrections and adjustments.

Collect, sort, prepare and scan documents; label and enter documents into the computer system; prepare files for recycling and/or shredding.

Convert documents to various formats; assist in transferring data between systems.

Provide post-scanning quality assurance to ensure batches are complete, accurate, and of a high quality.

Provide assistance in the transportation of boxed documents from DPSCS locations to the Records Center for storage; organize and number boxes; maintain inventory in storage.

Perform other related duties.

MINIMUM QUALIFICATIONS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: One year of general clerical or administrative support experience.

Note:

1. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in human resources assistance classification or human resources assistance specialty codes in the human resources management field of work on a year-for-year basis for the required experience.

SELECTIVE QUALIFICATIONS

Applicants must meet this selective qualification to be considered. Include clear and specific information on your application regarding your qualifications.

The successful candidate must have six months of experience performing records management tasks and applying best practices as it pertains to state, local and federal laws.

DESIRED OR PREFERRED QUALIFICATIONS

The following qualifications are preferred, not required:

Experience with applying the Annotated Code of Maryland State Government Article 10, Section 608-611 and COMAR 14.18.02.

Experience with scanning, storing, arranging, indexing, classifying and destroying confidential records.

BARGAINING UNIT STATUS

The incumbent in this position is a member of a covered bargaining unit and will be required to pay a bi-weekly service fee to the exclusive representative of the bargaining unit.
