POSITION DUTIES
This position provides
executive level administrative support, project management, and communication
functions for the Office of the Deputy Secretary of Operations (DSO). This
position also handles matters of policy and institutional importance as a
liaison for the Deputy Secretary Office.
The incumbent works closely with the DSO and other executive staff in
support of issues that require specific follow-up and manages special projects
as assigned. Additional duties include:
- Assembling and completing a variety of reports, records and logs to include maintaining established files.
- Maintenance and upkeep of the agencies administrative manuals, Standards Index, and Directives.
- Assisting the Special Assistant when needed which includes the processing of new files, typing letters/memos, handling authority moves and detainers or filing.
- Maintaining working files of the specific department heads the DSO supervises.
- Coordinating information for the Annual Report and budget reports.
- Responding to inquiries from telephone callers and visitor by redirecting calls or providing information, which requires detailed knowledge of the Institutions rules, regulations and procedures.
- Opening, sorting and disseminating all incoming mail to appropriate person/department.
- Composing correspondence for the signature of the DSO, ensuring that proper business English and grammar are used.
MINIMUM QUALIFICATIONS
Education: A Bachelor's degree from an accredited college or
university.
Experience: Two years of experience providing direct secretarial
or administrative support to a Warden or correctional executive.
Notes:

Additional
experience providing direct secretarial or administrative support to a Warden
or correctional executive may be substituted on a year-for-year basis for up to
four (4) years of the required education.
DESIRED OR PREFERRED QUALIFICATIONS
Preference will be given to applicants who
possess the following preferred qualification(s). Include clear and
specific information on your application regarding your qualifications.
- Experience utilizing Google Applications at an advanced or intermediate level in maintaining/updating calendars, setting up meetings and creating documents in Google Drive & sheets.
- Experience utilizing Microsoft Suite applications to create documents in Word and presentations in PowerPoint.
