Main Purpose of Job

The ability to assume responsibility and take initiative plays a significant role in this function, as does the ability to exercise good judgment. Composition of correspondence, typing at a superior level, and effectively communicating in a courteous manner are extremely important functions. A good workable relationship with superiors, coworkers and the public is necessary. Dependability ls a must. To master the complexities of the job at least three months of on-the-job training should be structured. This is due to the complexity and size of the Central Maryland Region, and the varying demands of the job and content of the work. 

The element of the job, which takes the longest to learn, is the structure of the Department of Juvenile Justice, the multi-functioning staff, and their various roles and responsibilities in the complex delivery of services system. It is also necessary to develop and maintain good organizational skills for handling 'last-minute priorities'. In addition to the above skills, one must know in detail how Department's information database (Assist) functions.

POSITION DUTIES

  • Serve as Liaison with the State's Attorney’s Offices as well as the Juvenile Clerk's Office in Baltimore County regarding the filing of Petitions. Creates and types correspondence to the SAO regarding Intake decisions to forward complaints for formal review.  Compiles monthly Detention List report for Baltimore County.

  • Responsible for collecting, gathering, and organizing information pertaining to Time Studies for Region 3. Ensures that workers have submitted the survey studies when necessary and that the time studies are completed accurately.

  • Maintains Fleet Management records for Region 3. Collects monthly mileage logs for vehicles assigned to Central Maryland Region field offices. Ensures that logs are complete and accurate and that information is submitted to Fleet management in a timely and organized manner.

  • Maintains employee expense account forms for Region 3. Keeps record of when expense forms are submitted and the amount of the expenditures. Ensures that the expense forms have all appropriate signatures and submits to the Regional Accounting Department for timely processing.

MINIMUM QUALIFICATIONS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Four years performing secretarial work or clerical work involving typing duties.

Notes:

1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.

2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted at the rate of thirty credits for one year of experience for up to two years of the required experience.

3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration classifications or Administrative, Clerical, or Office Services specialty codes in the Administrative Support field of work on a year-for-year basis for the required experience.

DESIRED OR PREFERRED QUALIFICATIONS

Preference will be given to applicants who possess the following preferred qualification(s). Include clear and specific information on your application regarding your qualifications.

  • At least two years’ experience working for a senior level administrator or executive.
  • General experience with ASSIST.
  • At least one year experience working with Microsoft Office Suite.
  • Strong written and oral communication skills.
  • Ability to prioritize and multi-task effectively.
  • Flexibility in a busy environment.
  • Strong time management, priority setting and problem-solving skills.

SPECIAL REQUIREMENTS

Demonstrated ability to accurately type on a keyboard on a personal computer at a minimum of forty words per minute may be required, depending on the specific requirements of the position.
