POSITION DUTIES

Provide administrative and office support to the Workforce Advancement Branch.

  • Provides timely, accurate and substantive assistance to The Workforce Advancement  Branch Provides logistical support by monitoring the financial procedures impacting the  Workforce Advancement branch within DEC Provides routine contact with other divisions within MSDE Coordinates annual grants for processing, monitors quarterly reports, reviews and prepares amendments and other budgetary documents for  processing Serves as liaison to financial representative in processing payments and financial information Interacts with departmental staff to schedule meetings and discuss various program matters Prepares, produces, and creates documents for internal and external meeting presentations Responds and researches telephone inquiries and provides accurate feedback to internal & external customers, and key stakeholders Maintains and monitors timely processing of invoices for grants, including periodic tracking of balances on requisitions. Serves as customer service contact for internal and external customersContact with facility managers, vendors and other state agencies to schedule meetings, request materials or check progress on projectsProcess all NOGAs timely Process all NOGAs timely. 
  • Develops and implements office procedures and processes for overall effective operations: Coordinates, tracks, and retrieves financial documents via FMIS accounting system. Coordinates purchasing of costly items by researching & preparing quotes & bids in accordance with MSDE and DBM policy. Prepares reports, data, grants, and purchase orders. Reviews monthly expense reports for DEC staff for processingAssists with or Conducts MSDE physical inventory processes for DEC 

MINIMUM QUALIFICATIONS

Experience:   Five years of experience in administrative staff or professional work.

Notes: 1. Candidates may substitute 30 college credit hours from an accredited college or university for each year up to four years of the required experience. 2. Candidates may substitute the possession of a Bachelor's degree from a college or university and one year of experience in administrative staff or professional work for the required experience. 3. Candidates may substitute additional graduate level education at an accredited college or university at the rate of 30 credit hours for each year of the required experience. 4. Candidates may substitute U.S. Armed Forces military service experience as a commissioned officer involving staff work that included regular use of independent judgment and analysis in applying and interpreting complex administrative plans, policies, rules or regulations or analysis of operational programs or procedures with recommendations for improvement on a year-for-year basis for the required experience.
