POSITION DUTIES
The main purpose of this position is to provide administrative and secretarial support for the Training and Professional Development Department (Staff Specialist III) and Program Evaluation and AWARE Support (Staff Specialist III) in the DORS Office of Administration and Financial Services.
Provides administrative and secretarial support to the Staff Specialist III, Staff Training and Professional Development Department, including maintaining and updating documentation and records for DORS training programs, tuition reimbursement, internships and Quality Rehabilitation Training for new staff. Answers or forwards questions from the public. Enters relevant, updated information into the Training Grant and CRC databases. Coordinates payment for training for staff. Coordinates training logistics, including obtaining cost information and quotes, if needed, preparing printed materials, arranging for reasonable accommodation needs for staff, assuring registration forms and materials are complete. Provides administrative and secretarial support to the Staff Specialist III, Program Evaluation and AWARE Support, including assisting in gathering, verifying, entering, and correcting data required for quarterly federal reporting. Assists in compiling and disseminating reports for program evaluation. Coordinates with Central Office support staff to provide office and phone coverage for the toll-free number, assistance entering bill payments into the AWARE case management system, processing referrals and special project
MINIMUM QUALIFICATIONS
Education: Graduation from an accredited high school or possession of a high school equivalency certificate.
Experience: Four years performing secretarial work or clerical work involving typing duties.
Notes:
1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.
2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted at the rate of thirty credits for one year of experience for up to two years of the required experience.
3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration classifications or Administrative, Clerical, or Office Services specialty codes in the Administrative Support field of work on a year-for-year basis for the required experience.
DESIRED OR PREFERRED QUALIFICATIONS
- Experience using an electronic case management software program.
- Experience working with Google Suite and Microsoft Office Suites.
- Experience in preparing procurement documents and internal requisitions.
