POSITION DUTIES
Independently performs a variety of complex administrative, fiscal, and budget duties for the Program Manager II that with stand Federal and State reviews and audit. Responsible for independently assisting with the management of service vendors, human resources, telecommunications, facilities and security at Disability Determination Services (DDS).
Independently
prepares official correspondence to the State, Federal and private agencies
pertaining to legal and fiscal matters; develops and maintains complex Excel
spreadsheet reports for various budget and personnel matters. Maintains
accurate files of reports, purchase orders, budgets, contracts and administrative
correspondence. Prepares, monitors and maintains purchase requisitions for all
service and maintenance contracts. Records, analyzes and monitors information
into the Financial Management Information System (FMIS) account system.
Compiles personnel data or time/leave hours for staff generating SSA-4514
report for SSA. Responsible for the agency’s telecommunication system including
communicating to staff on telecommunication policies and procedures.
Responsible for reporting facility issues and monitoring resolution progress.
Controls and issues State photo identification access cards.
MINIMUM QUALIFICATIONS
Experience: Four years of experience in administrative staff or professional work.
Notes:
1. Candidates may substitute the completion of 60 credit hours at an accredited college or university and two years of experience in administrative staff or professional work for the required experience.
2. Candidates may substitute the possession of a Bachelor’s degree from an accredited college or university for the required experience.
3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer involving staff work requiring regular use of independent judgment and analysis in applying and interpreting rules and regulations in accordance with agency laws and policies on a year-for-year basis for the required experience.
DESIRED OR PREFERRED QUALIFICATIONS
- Experience preparing correspondence using Microsoft Word.
- Experience with paying invoices and bills.
- Experience creating and maintaining spreadsheets.
- Experience communicating with vendors and utility providers.
SPECIAL REQUIREMENTS
