Main Purpose of Job

This position provides administrative and technical assistance to the Training and Education and Outreach (TE&O) Programs and the Operations Unit within Maryland Occupational Safety and Health (MOSH).

For TE&O duties, the position will be contributing to speaking engagements and in house training, and assisting Outreach Supervisor with administrative duties concerning trainees, and other training and education related administrative duties, etc. Support marketing efforts and organization duties in order to fulfill the mission of the agency to provide outreach and safety education to the public.  

For the administrative and technical duties for Operations, this position will process and redact Maryland Public Information Act (MPIA) requests for the agency, including fatality and other highly sensitive cases, as well as assist in complaint processing and evaluation while assisting the public in the utilization of the agency's enforcement resources.

POSITION DUTIES

TE&O Duties

Maintain office coverage in the front office by receiving and directing telephone inquiries to appropriate personnel; and greeting and directing visitors.

Ensure MOSH publications are adequately stocked and available for dissemination to field staff, satellite offices and the general public. Set-up classrooms for training, fill audiovisual and publication requests. 

Enter seminar registration confirmations, evaluations, and cancellations into the database.  Prepares for seminar by gathering instruction materials and finalizing the overall details of the training course. 

Assist trainers/instructors with updating and revising power point presentations for public viewing. 

Provide technical and administrative assistance to MOSH trainers/instructors during speaking engagements and in-house training. 

Assists Supervisor with administrative processes including but not limited to monitoring leave calendar and auditing biweekly and monthly timesheets and expense vouchers for accuracy, etc.

Operations Duties

Log and process Maryland Public Information Act (MPIA) requests in accordance with applicable regulations and Departmental policies.  Ensures personally identifiable information and other prohibited information is redacted on all MPIA requests and completed within set time requirements. 

Log, verify, research, and process occupational safety and health complaints in accordance with the Field Operations Manual and internal policies.  Maintains strict confidentiality of employee complainants. Redirect complaints to appropriate agencies for issues that do not fall under the authority of MOSH.

Performs other duties as assigned by management.

MINIMUM QUALIFICATIONS

Experience:   Three years of experience in administrative staff or professional work.

Notes:

1. Candidates may substitute 30 credit hours from an accredited college or university for each year of the required experience.

2. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer involving staff work requiring regular use of independent judgment and analysis in applying and interpreting rules and regulations in accordance with agency laws and policies on a year-for-year basis for the required experience.

DESIRED OR PREFERRED QUALIFICATIONS

Experience using Microsoft Office Suite,  including Word, Excel and Power Point. 

Experience using Google Docs to share Excel Spreadsheets and other documents

Experience performing administrative and secretarial duties including but not limited to drafting letters, data entry, maintaining confidential files, processing mail and receiving and assisting customers, etc. 

SPECIAL REQUIREMENTS

Candidates may be responsible for providing their own transportation as needed to access meetings, remote locations, and job destinations as assigned.

All candidates are subject to a background check against files maintained by the Division of Unemployment Insurance (LABO)R/DUI) to determine whether any monies are owed to LABOR/DUI as a result of unemployment overpayment/fraud. Any unpaid debt may have an impact on whether or not a candidate is offered employment.
