POSITION DUTIES

This position answers and screens telephone calls for the Food Control Office, and disseminates information per caller’s request pertaining to routine office matters regarding the Food Control Office procedures and policies. This position will respond daily to email requests pertaining to Food Control issues, and to respond to public information requests. This position uses word processing/ computer to prepare all correspondence, e.g. letters, licenses, temporary food permits, memorandum, forms, news releases, food facility conference letters and meeting minutes and all other materials in rough draft. This position proofreads outgoing correspondence and reviews records for completeness and accuracy, This position opens, sorts, reads, and distributes incoming correspondence, and maintains the Food Control Office inspection reporting system using computer database. This position performs inspections and daily reports that are submitted by the EHS within the Food Control Office. This position compiles Food Control statistics from the EHS Daily Report and other sources and submits the form on a monthly basis or upon request, and ensures all paperwork has been completed and turned in by all EHS in the Food Control Office. This position will enter, update, verify and retrieve data using computer databases or spreadsheet software applications, and maintains the filing system for food service facilities and other Food Office related files which includes but is not limited to restaurants, markets, schools, nursing care facilities, camps, meat markets, day care facilities, alternative living units, special events, foodborne files, complaint logs, etc. This position compiles new files and prepares licenses for new establishments and ownership transfers. This position mails related correspondence and food licenses to the establishment in a timely fashion. This position prepares annual invoices and related correspondence for all Frederick County licensed food service facilities regarding their annual food licenses. This position maintains a computerized invoicing program regarding accounts receivable, and issues receipts and licenses to those establishments whose accounts have been paid. This position will issue reports for delinquent accounts after expiration date to the Food Control Office Program Manager along with Temporary Event Permits. This position prepares temporary event permits for community organizations and vendors participating in public events. This position procures complete, pertinent, and accurate information to assist the EHS in their evaluation of these temporary event permit applications. This position reviews and approves temporary event permits under the supervision and approval of the Food Control Office Program Manager. This position will complete front desk coverage as assigned by the Office Supervisor and otherwise as needed during normal working hours. This position completes other Food Office duties while maintaining front desk coverage such as responding to phone calls, answering emails, sorting paperwork from Food Office, reviewing and approving temporary event permits, etc. This position completes County forms for new EHS hires including computer logons, driving permissions, telephone requests and emergency contact lists. This position  assists with office ordering and inventory, and processes financial transactions, as needed.

MINIMUM QUALIFICATIONS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Two years performing secretarial or clerical work involving typing duties.

Notes:

1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.

2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted at the rate of thirty credits for one year of experience for up to two years of the required experience.

3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration classifications or Administrative, Clerical, or Office Services specialty codes in the Administrative Support field of work on a year-for-year basis for the required experience.

SPECIAL REQUIREMENTS

Demonstrated ability to accurately type on a keyboard of a personal computer at a minimum of forty words per minute may be required, depending on the specific requirements of the position.
