POSITION DUTIES
The main purpose of the job is to provide administrative/clerical/secretarial support to the Commander of the Administrative Hearing Section, the Department Prosecutor and members of the Prosecutor's Section, and the Bureau Chief as needed. The position will require a basic knowledge of Departmental, Section, and Bureau Policies along with an understanding that the operations conducted by these sections are sensitive and require strict confidentiality.
Coordinate the calendars of the Section Commanders and ensure that complete information is provided for all meetings and appointments. Coordinate the scheduling and notification of meetings, hearings, conferences, or other appointments by establishing the location and confirmation of said meetings with attendees.
Answer incoming telephone calls and obtain pertinent information from the caller prior to directing the call to the appropriate person(s).
Sort, date, stamp, and determine the distribution of all incoming mail to Section Commanders/personnel.
Review section needs and design, implement and manage new interactive databases encompassing information regarding incoming and outgoing correspondence, administrative hearings cases, and other administrative actions required to support the Administrative Hearing Section and the Prosecutor's Section.
Acts as intermediary between Prosecution and IAD retrieving files, case documents, audio recordings and other related matters.
Type and/or compose correspondence, orders, Form 17's, endorsements, Superintendent's or Governor's response letters (in accordance with established guidelines), commendatory letters, reports, request for training, requisitions, promotional certificates, award presentations and other materials required by or directed by the Section Commander.
Duties as listed in the MS-22 and other duties as assigned by Supervisory or Command personnel.
MINIMUM QUALIFICATIONS
Education: Possession of a Bachelor's degree from an accredited four-year college or university.
Experience: One (I) year experience in administrative or professional work.
Notes:
1. Candidates may substitute additional experience in administrative staff or professional work on a year-for-year basis for the required education.
2. Candidates may substitute additional graduate level education at an accredited college or university at the rate of 30 semester credit hours for each year of the required experience.
3. Candidates may substitute U.S. Armed Forces military service experience as a commissioned officer involving staff work that included regular use of independent judgment and analysis in applying and interpreting complex administrative plans, policies, rules or regulations or analysis of operational programs or procedures with recommendations for improvement on a year-for-year basis for the required education and experience.
DESIRED OR PREFERRED QUALIFICATIONS
Preferred Qualifications:
1. Experience working in an Administrative Hearing Section
2. Basic knowledge of the Law Enforcement Officers Bill of Rights (L.E.O.B.R.)
3. Transcription experience
LICENSES, REGISTRATIONS AND CERTIFICATIONS
SPECIAL REQUIREMENTS
In accordance with Section 2-204 (b) (6) of the Public Safety Article, candidates for positions in this classification are subject to an initial drug screening and a complete criminal background investigation to include a polygraph examination before permanent appointment can be made. A criminal conviction may be grounds for rejection of the candidate.
SELECTION PROCESS
Only candidates who meet the minimum qualifications will be considered for this classification. Therefore, it is essential that you provide complete and accurate information on your application. Successful candidates will be placed on the Eligible List categorized as BEST QUALIFIED, BETTER QUALIFIED or QUALIFIED and remain eligible for consideration for at least one year from the date of examination. The list will be used by the hiring manager to select employees.
EXAMINATION PROCESS
The examination will consist of a rating of your education, training and experience related to the requirements of the position. You may be required to complete a qualifications supplement, or the rating may be based on your application. Report all experience and education that is related to this position. Applicants may be given a physical examination and will be subject to an interview, background investigation, polygraph examination and substance abuse testing.
